Job Title: / Activities and Enterprise Apprentice Administration Assistant / Service Area: / Able 2 – Adult Services
Responsible To: / Activities and Enterprise Development Lead / Salary: / Meets National Minimum Wage
JOB PURPOSE
·  To ensure all administrative and reception duties are carried out in an accurate and appropriate manner.
·  To ensure effective communication between staff, customers, carers and other professionals.
·  To ensure the delivery of high quality care and support to users in accordance with the Percy Hedley Foundations vision, mission and core values.
MAIN DUTIES
·  Receiving telephone calls for Able 2, taking messages and distribute as appropriate.
·  Reception duties, including greeting visitors and ensuring that they sign in and out of the building.
·  Photocopying.
·  Faxing.
·  Scanning.
·  Word processing to include:
·  General correspondence/letters on behalf of management and staff.
·  Use of Internet/Email.
·  Dealing with incoming and outgoing mail.
·  Ordering stationary.
·  Filing.
·  Ordering equipment for departments.
·  Processing invoices.
·  Using the tannoy for announcements and at home time to call for service users for their taxis.
·  Keeping all staff and service user information up to date.
·  Any other reasonable duties as requested by the manager.
Professional Duties
Able 2-Adult Services operates in a demanding and often changing environment. Members of staff must be flexible, adaptable, willing to face up to changing circumstances and new opportunities. The following list of duties and responsibilities must therefore be taken as a guide and is not to be comprehensive:
·  To be accountable for own professional action, recognising professional boundaries and working within defined departmental protocols and codes of conduct.
·  To use excellent verbal and written communication skills and establish effective working relationships with service users, families and support staff and the wider staff team.
·  To be responsible for managing own time and workload effectively.
·  To deal with initial difficulties or complaints sensitively, avoiding escalation where possible.
·  To demonstrate negotiation skills in the management of conflict across a range of situations, recognising potential breakdown and conflict when it occurs and seek advice and support to resolve.
·  To participate in a performance management scheme that will provide personal and professional development opportunities, ensuring that objectives set reflect plans for the Percy Hedley Foundation and department.
·  To be aware of and adhere to current legislation and Percy Hedley Foundation policies and procedures relating to the post.
Discipline, Health and Safety:
·  To follow the Percy Hedley Foundation and HCPC Code of Conduct at all times.
·  Adhere to the Percy Hedley Foundation Health, Safety and Welfare policy at all times.
·  Promote Health and Safety in all schemes of work.
·  Carry out all activities in the best interests of the service user.
·  Report all incidents and accidents to line manager or senior member of staff.

Essential / Desirable

Willing to undertake further training and development to maintain competence.
High level of physical dexterity. /
Qualifications & Training / Basic Numeracy & Literacy Skills to Level 1 or equivalent.
Basic IT Skills / Level 2
Experience / Experience of completing administrative tasks
