Job Summary

The development of a positive volunteer workforce is an integral part of Winona Volunteer Services programs. This position supports the agency’s goals and objectives through the successful recruitment and retention of volunteers for the food shelf, clothes shop, special projects, and home delivered meals program. The Volunteer Coordinator is responsible for implementing appropriate volunteer management practices including recruitment, interviewing, job matching, orientation and training, supervision and motivation, recognition, evaluation, planning and job development.

Essential Duties

· Recruit, screen, and place volunteers in positions that fulfill the agency’s goals

· Coordinate and create training programs that ensure volunteer compliance with established policies and procedures

· Establish appropriate follow up procedures with volunteers

· Design and conduct evaluations of volunteers

· Maintain the volunteer database and volunteer personnel files

· Create and post volunteer work schedules

· Oversee documentation of volunteer activity and compile statistical data for reports

· Implement training programs for volunteer development

· Prepare reports for the Executive Director and other agencies as required

· Update & create job descriptions for current and new volunteer opportunities

· Update and maintain procedural handbooks for all categories of volunteer involvement

· Generate community awareness for volunteer positions by disseminating information to targeted audiences using a variety of mediums

· Conduct regular needs assessments to involve volunteers in more significant roles within the organization

· Create events and opportunities that recognize volunteer service

· Participate in regularly scheduled staff meetings

· Articulate accurate information about agency services when inquires are made

· Knowledgeable to administer direct services to clients when other staff is absent

· Active in short range and long range strategic planning by leading the Volunteer Management Committee

· Contribute to a positive working environment through words and actions

· Accept other assignments deemed appropriate and necessary

· Adhere to established policy and procedures and support agency goals

· Strive to improve processes to ensure best practices in managing the volunteer workforce

Working Conditions

This position is responsible for scheduling and maintaining sufficient numbers of trained volunteers to fulfill the agency’s goals for all programs operated by WVS. Normal work hours are Monday – Friday from 8:00 am to 5:00 pm and occasional weekend and after hours may occur.

Education and Experience Requirements

The ideal candidate possesses a Bachelors Degree. However, organizational and/or managerial skills, communication skills and mental development acquired from at least two years experience with volunteer management practices or in the nonprofit sector will be considered. This position requires leadership and competency in working with individuals and groups from a variety of backgrounds and educational levels.

Knowledge, Skills and Abilities

· Working knowledge of various software programs but not limited to Microsoft Office

· Demonstrated proficiency with volunteer management preferred

· Demonstrated initiative/self motivation, attention to detail, organizational and time management skills

· Ability to establish appropriate boundaries with volunteers, deal effectively with problems and exercise good judgment

· Enthusiasm in performance of assigned duties

· Highly motivated and able to work without close supervision, but willing to accept direction and guidance from the director

· Represents WVS in a most positive manner to employees, students, visitors, donors, and the general public

· Ownership and the ability to operate a motor vehicle with a valid driver’s license and insurance

Physical Requirements

Must be able to see, lecture (speak) and hear questions from volunteers and clients. Must be able to lift and carry at least 20 pounds; carry coolers and/or boxes of food, move clothing racks during seasonal change over, and operate an automobile.

Relationships

This position is supervised by the Executive Director. The individual will develop an active work plan based on the agency’s strategic plan and use his/her judgment, initiative and self supervision in completing specific work. This person has the ability to exercise discretion and independent judgment with respect to matters pertaining to volunteer management. All work is subject to direction from the Executive Director who defines the general activities within the broad limits of established policy and procedures. The employee participates in staff meetings and has individual conferences with the Director to discuss general phases and specific details of work, as needed.

· Beginning salary range is between $32,000 and $34,000,dependent on experience
