Karen welcomed everyone to the meeting and introduced the PTO board – Janet Platenburg, Monica Kissell, Karen Pettit, Ali Johnson, Nancy Fuller and Natalia Nunno

BOARD REPORTS:

Principal’s Report (Janet/Monica)

Janet Platenburg:

·  Janet welcomed everyone and thanked the PTO board for working over the summer. She acknowledged that this was the most attended PTO meeting in history. The first week of school when well and everything started right on-time the first day.

·  There will be a parent workshop on 9/19 @ 7pm @ SWES. Neil McNearny. Topic: Homework

·  SWES student scores will be announced at the next PTO meeting.

Monica Kissell:

·  Monica announced that they are currently conducting different drills – fire drills every week. They will also conduct the following drills: lock down, earthquake, & tornado by the end of October.

President’s Report (Karen)

·  Karen announced that the PTO calendar of events is located on the SWES PTO website. Calendar also attached

·  Back to school night is Thursday September 12, 2013 from 5-7pm. The PTO will provide snow cones and a DJ will be there for entertainment. Spirit wear will be sold and PTO membership registration will also be there.

·  A big “shout out” and Thank You to Manhattan Pizza for donating all of the pizzas for today’s PTO meeting.

Secretary’s Report

Natalia Nunno

·  Bylaws and minutes will be kept on the PTO website and in the library.

·  Weekly emails will also be sent out with reminders about upcoming events

·  The PTO website will also contain information. Jenn Hartmann will update website. Any communication regarding PTO activities should be sent to Karen Pettit () to review and approve. Information that will need to go in the Thursday folders should be reviewed by Karen and signed off by Janet Platenburg.

Treasurer’s Report

Nancy Fuller

·  Last year’s books are in review and still pending.

·  Proposed 2013-2014 budget attached. Nancy briefly discussed the budget and noted that in some cases in may look different than in the past as this year we separated out income and expenses in the budget.

·  Nancy noted the one time donation received by SWES from Seldens Landing ($5,809) as well as the one time donation SWES made to Discovery ($2500) to help get their PTO started.

·  Current balance: $10, 316 – checking; $18,312

·  Working with Janet and staff to determine “wish list” for the school

·  There was no discussion on the proposed budget

Misty Marelli motioned to approve the budget. It was seconded. No one opposed. 2013-2014 Steuart Weller PTO budget APPROVED as written.

COMMITTEE REPORTS:

Fundraising Report

Karen Pettit

·  Based on parent feedback, the PTO decided to forgo various fundraisers and instead create a PTO Contribution Campaign which offers the option for family to make a onetime donation if they wanted to. A form was included in the BTS folders provided to parents and can also be found on the PTO website.

Amy Brown/Teresa Wade

·  Restaurant Nights - Dominos Pizza every Monday from September 30-October 28th. A form will be distributed as well as posted on the PTO website. This form will need to be handed to the delivery person in order for SWES to get credit.

·  Other restaurants nights are being planned as well. If you have any suggestions, feel free to contact Amy and Teresa.

·  In addition, we are trying to do join Spirit Nights with SLES

Sandy Belforte

·  Cookie dough fundraiser will be in the fall. most likely October/November timeframe

Misty Marelli

·  Community Donations: Misty Marelli will be in charge of donations from the community. She will be forming business partnerships with the community. A suggestion was made by Julie Rody to contact the FB manager for One Loudoun. She has the contact information and will get it to Misty.

Heather Enright

·  Grocery Loyalty Program – Please register your HT, Giant and Safeway cards either on the PTO registration form or with the store. Target also participates but you will have to register your card on line. Additional information can be found on the PTO website.

Nicole / Laurie

·  School Supplies: This year’s school supplies have been distributed and it was a success.

Volunteer Report

Susan Sabloff

·  Susan () is the volunteer coordinator. If you are in charge of an event and need volunteers, please contact Susan

·  The following 3 Open positions were discussed and the following individuals volunteered to represent SWES. Thank you to all of them!

o  LEAP (Loudoun Educational Alliance of Parents) - Marcy Parker ()

o  MSAAC (Minority Student Achievement Advisory Council) - ()and Sharin Harun ()

o  SEAC (Special Education Advisory Committee) - Onjeinika Brooks (

·  Winter Festival

o  Jeff Brown () is the current chair and would like some assistance from a co-chair to plan the winter festival. It’s a great event.

o  Co-chair - OPEN

·  Caring & Sharing

o  Chairs Laura Pearson & Amy

o  Caring & Sharing is a quarterly event where we thank the hard work of our teachers and staff with a breakfast or lunch. For those families who came from Seldens Landing, Caring & Sharing is similar to Wonderful Wednesdays

o  The first luncheon on 10/10

o  “Perfect Potluck” will be used for individuals to sign up and bring in food

o  Sign up will come out approximate 2-1/2 weeks prior to the event.

o  Janet can also send out message on ConnectEd

Membership Report

Brenda Stromberg/Carolyn Gierer

·  Received approx 150 PTO membership forms

·  In the process of inputting information into database

·  Until PTO membership database created, will use past volunteer database to email updates

·  Room mom information from the teachers will go to Janet

·  PTO School directory targeted for early December.

Communications Report

Natalia/Eva

·  All flyers must be submitted to Janet by Tuesday 10am for E-folder; 10am Friday for ConnectEd

·  Karen needs to approve all PTO flyers and Janet must sign off on all flyers

·  Updates to Natalia by following dates for monthly newsletter: 8/23, 9/20, 10/23, 11/19, 12/12, 1/24, 2/21, 3/20, 4/21, 5/21

·  Web updates to Karen ( ) as needed

·  Facebook updates to Eva () as needed

Spirit Wear Report

Katie Rohde

·  Chairs: Jenn Garner & Katie &

·  Most spirit wear that was on hand was sold during the Back to School nights

·  Hope to have additional sweatshirts and dry fit shirts at the BTS picnic

·  Spirit wear inventory will be sold at BTS picnic and Spooky Bingo

·  Orders will also be taken for new spirit wear. Order forms and spirit wear samples can be found on the PTO website. Deadlines for orders to be in are as follows:

o  9/13, 10/18, 11/29

·  Socks – We were told small were so 10-3 and medium 4-9 but we received samples of socks and they are running big. So make sure you take that into account when you order them. Also, please note COLOR choice on order form - Blue or Yellow.

ASAP Report

Kim McCabe

·  ASAP Chairs - Kim , Susan , Amanda /Amanda/Susan)

·  Session 1 registration open from 9/16-9/23

·  Session 1 classes will begin 10/7. They will be 8 week sessions.

·  Need people who can help with attendance during the sessions. This requires you to be at school for the 10 min before the ASAP classes begin. Those who volunteer will receive priority registration for the ASAP classes

·  Registration will be first come, first serve.

·  There will be 2 ways to register – (1) directly with vendor on their website. They will manage priority list (2) paper copy sent into school. The ASAP team will receive registrations, date them daily and manage priority list based on date. If in one day, the team receives the max number of forms allowed for a class, they will do a lottery to determine which students get signed up.

·  Payment for ASAP will be made directly to the teacher or vendor

STANDING COMMITTEE UPDATES:

LEAP

·  Thank you Marcy Parker for volunteering to chair.

MSAAC

·  Thank you Amy Wilkins and Sharin Harun for volunteering to chair.

SEAC

Odyssey of the Mind

Alexis Kerr

·  There will be an introductory & informational meeting to OoTM on September 24 @ 7pm in the SWES Library

·  Currently have 3 coaches & 4 assistants but need 3 more.

·  OoTM is a student driven competition where they solve one of 5 problems. Teams are typically 5-7 students. Time commitment is once/week and increases toward the time of team presentation. More information will be available at information night

·  Grade K-2 is a primary team and does not present (2nd graders have option to be on a primary or competitive team

·  Grades 2-5 – competitive teams

NEW BUSINESS

Spooky Bingo

Cyndy Oliver

·  Chairs: Shelly nd Cyndy

·  Spooky Bingo planned for Oct 18 from 6-8:30pm. Will be able to pre order pizzas.

·  6-7pm families and eat pizza and meet other families. 7-8:30 BINGO!

·  Posters will be hung around school to stir up excitement

·  Order forms for tickets, pizza, etc will be posted on the PTO website and will be sent home with the students.

Watch D.O.G. Dads

·  Erin Timothy will organize the first interest meeting in approximately 2 weeks.
