Dear Applicant,

Thank you for your interest in the 2014 JMU Female Institute for Learning and Development! The Female Institute (FI) is an intensive two week pre-collegiate, residential experience for rising 9th -12th grade students. The program serves to enhance:

·  Overall academic skills

·  Increase motivation toward higher education

·  Promote personal success

·  Expand career awareness and knowledge of the world

·  Expose students to the concept of community service

We seek to accomplish these goals through classroom instruction, developmental workshops, leadership activities, tutoring, mentoring, a service-learning project and a comprehensive experiential learning trip. The program will serve a maximum of 40 students. Intended dates for the program are July 6th – 19th, 2014 along with a week of training prior to the start of the program June 30th – July 5th. There will be no training on the July 4th holiday. Emphasis will be placed on students with limited exposure to college, minority students, students who would be first generation college students, and/or students from low socio-economic backgrounds.

SUMMER STAFF SELECTION PROCESS

·  Review the job descriptions, responsibilities and expectations of both the Resident Counselor and Administrative Assistant positions.

·  Complete the entire application. The answers must be typed (double-spaced) and limited to a total of three pages.

·  Distribute reference forms to one academic and one professional reference. Please be sure to provide your references with a copy of the responsibilities, expectations, and the program description.

Completed reference forms must be delivered or mailed to Ms. Tenea Lowery at the address below no later than March 21, 2014.

Position Descriptions
2014 JMU Female Institute for Learning and Development

Female Institute Resident Counselor

The goal of the Resident Counselor is to assist and support the development of participants. These include aiding in the development of organizational, communication, problem solving, personal, social, cultural, leadership, service learning, and adjustment/transition skills to meet the academic challenges of higher education. The Resident Counselor is also responsible for working within a team to monitor a wing or section in the residence hall. The Resident Counselor serves as a facilitator to partner with and guide participants through the daily program schedule while encouraging a cooperative and considerate group experience.

The successful candidate will possess strong interest and desire to partner with high school students in grades 9-12 and serve as a positive role model/mentor. Enthusiasm, positive attitude, interpersonal and communication skills are necessary. The ability to encourage and motivate others is essential. Proven organizational skills and the ability to work in a fast-paced environment with a variety of individuals and situations are important. Conflict resolution and mediation skills are a plus. The flexibility to work extensive hours (morning to night) is essential. Candidates should have at least a 2.0 cumulative grade point average and agree to work the full duration of the program without exception. This position begins Monday, June 30, 2014 and ends Saturday, July 19, 2014.

Female Institute Administrative Assistant

The Center for Multicultural Student Services is seeking an organized, collegial, energetic, and flexible person to support the operations of Female Institute by providing assistance with clerical and office duties. Responsibilities include generating schedules, creating excel spreadsheets and documents, routine correspondence, data entry, and implementing office standards/procedures. Candidates should possess the ability to organize and perform tasks independently; the ability to communicate effectively; excellent word processing, database, follow-up, and document maintenance skills. This person should have the ability to interact professionally and positively with all program constituents; and the ability to handle multiple tasks simultaneously. Competence in MS Office is a must. Position is 20-30 hours per week and may require some weekends. Candidates should have at least a 2.0 cumulative grade point average and agree to work the full duration of the program without exception. This position begins Monday, May 19, 2014 and ends Monday, July 21, 2014.

Female Institute Resident Counselor

The responsibilities of the Resident Counselor are to support the academic development of program participants, complete residence hall duties, perform administrative duties and serve as primary support for program participants. The following is a representative yet not all-inclusive list of Resident Counselor responsibilities.

Maintains a professional attitude and persona (on and off campus) while employed as a University employee for the Center for Multicultural Student Services.
Knows and understand the philosophy of CMSS and the Female Institute and is familiar with the resource material in the Female Institute Staff Manual.
Knows and understand the rationale for university and Residence Hall policies and procedures, and interprets and enforces them effectively.
Provide students with an environment conducive to academic study, personal and social development as well as helps students adjust to homesickness, their roommates, floor mates, residence hall and university community.
Follow directives and assist in maintaining order in emergency situations.
Attends all Staff Training. Participates in all trips and daily program activities with Female Institute participants. Advance notification to the Program Director and Hall Director if situations occur which will prevent staff from participating is required.
Be prompt, attend and participate in all program activities or meetings called by the Hall Director, Program Director and/or CMSS.
Develop a positive working relationship with Program Director, Hall Director, peer staff members, and CMSS staff.
Informs the Hall Director of living unit situations (such as, but not limited to, incidents, needs, behavioral changes, safety concerns, and whereabouts of members) through individual consultations, unscheduled conversations, staff meetings and reports.
May be required to drive a state vehicle at various times. Must have a valid driver’s license in order to do so. Must adhere to all university policies for vehicles including parking.
Support and participate in the evaluation of residence hall staff personnel.
Completes certain administrative tasks/duties and run errands as assigned by the Program Director, Hall Director and/or CMSS. (For example: delivery and pick-up of items, transporting students, etc.)
Maintain records concerning room inventory and damages in students’ rooms.
Assist with student room check-in and room checkout procedures.
Provide administrative support and assist with surveys or special projects as requested by the Program Director, Hall Director and/or CMSS.
Assist students with their personal and group concerns within limits of training and capability. Ensure that program participants adhere to all rules and regulations established by the university and program while on campus and in the residence hall. Makes necessary and appropriate referrals.
Share responsibility of morning or night duty and hall security. Resident Counselors are expected to be in the hall each morning and evening, available to meet student needs. Official duty guidelines are set at the discretion of the Hall Director. Duty guidelines include: conducting duty rounds, performing security checks, displaying professional behavior, etc.
Neither time away from the university nor male visitations are permitted during the program.
Maintains a high level of ethical and professional standards. Counselors should always assist as designated in hall matters and situations with participants.
Assists in additional responsibilities that occur concerning the daily schedule or hall functions, such as but not limited to additional duties to respond to safety or scheduledevent(s).
Meets and develop rapport with each student assigned to you as well as with other program participants.
Holds periodic meetings with participants assigned groups for general communication, information sharing, or generating enthusiasm.
Facilitates programming as outlined by the program schedule, in cooperation with other Resident Counselors and program participants. Specific guidelines and directions concerning programming are arranged with the Program Director/Hall Director.
Encourages and supports students in their involvement in all program activities to include: classes, developmental sessions, recreation, community service, team building, study hours, and meals.
Provides informational floor bulletin boards for academic information, social events, deadline dates, maintenance, policies, procedures, and safety.
Works with the Program Director and Hall Director in supporting program participants.
Return early to open the Residence Hall prior to the program opening and remain in the Residence Hall until all students have left after the program closing. Resident Counselor must participate in all opening, closing and inspection procedures, and may not leave until dismissed by the Hall Director.
Have at least a 2.0 cumulative GPA.
Rejects additional employment or significant time commitments while serving on the residence hall staff. Exceptions to this policy must be approved in writing through the Program Director in conjunction with the Hall Director, before making a commitment. Extracurricular activities should not conflict with the duties of the position.
Enforces and personally follows job responsibilities, university, residence hall, and state policies or laws. Failure to do so may result in disciplinary action or termination of employment.
This is a 24-hour position, seven days per week for two weeks while participants are on campus; you may be called upon at various times throughout the day or night for assistance or coverage.

·  Reports directly to the CMSS Program Director.

·  Works closely with the office staff to create excel spreadsheets and documents, as well as prepare and send out all correspondence.

·  Assist with maintaining financial records and payment processes.

·  Follow up with all contacts.

·  Create and prepare program guides and closing banquet information.

·  Answer and respond to inquiries from parents, students and various offices/organizations.

·  Process forms and applications of potential participants.

·  Maintains several databases of applicants, participants and necessary program information.

·  Works closely with all staff, instructors, consultants, speakers and guests.

·  Compile and evaluate assessment forms to ensure program effectiveness.

·  Create and maintain a program itinerary to ensure the smooth day to day running of the program

·  Liaison with various service providers as necessary.

·  Assist in coordinating local, overnight or community service trips (food, transportation, lodging, itinerary)

·  Assemble, copy, and maintain organized and efficient records for all program documents and information relating to the program.

·  Assist the residential staff as needed.

·  Rejects additional employment or significant time commitments while serving as administrative assistant. Exceptions to this policy must be approved in writing through the Program Director. Extracurricular activities should not conflict with the duties of the position.
