Files in support of Youth Training and Member Classes are kept in one of two places: The NorCal Youth Training folder and a Google Drive Youth Training account

1. The Youth Training folder is under the Documents folder of the NorCal Wild Apricot “Resources” master folder. (see screenshot below)

a. This Readme document is uploaded as a .docx file to the root level of the Youth Training Folder.

b. The Youth Training Folder has three sub files: Documents, Pictures, Schedules

i. The Documents Folder contains pdf’s from AAW and other sources that are copied in full so they will not be lost.

ii. The Schedules folder contains coaches’ schedules and any other schedules such as member classes.

2. Google Drive: Almost all documents created by the Youth Training team are kept in Google Docs at https://drive.google.com/drive/my-drive

a. The Google Drive account contains 2 major folders: Youth Turning and Member Workshops. See screenshot below.
The Folder tree is as follows:

i. Member Workshops

ii. Youth Training

1. Coaches Info

2. Projects

b. All documents are put in share mode and accessed from the NorCal site by read-only links in the Youth Training Notes page, in emails and events.

c. The files stay in Google Docs and are not uploaded to the NorCal Youth Turning folder except for the coaches’ schedule and this Readme file.

d. The coaches schedule is created in Google Sheets in the Google Drive Coaches Info folder and is uploaded as a pdf to the NorCal files Schedule Folder. Only team members who have the link to the Google Sheets schedule file can update it on Google Drive. This way updates can take place until the schedule is ready to “publish.”


Responsibility for maintaining this file and all other youth and member training files is with the Youth Training Team, particularly Jerry Hall and Ted Young.

FYI: Why is Google Drive used? It allows one common document creation tool to be used (Google Docs, Sheets.) It provides shared online access for update and collaboration. The alternative would be creating documents on a team member’s PC with their preferred word processor and then uploading files. Different word processors and downloading and uploading for updates is a recipe for frustration. With Google Docs what you see online is what the file is. Everyone uses the same tool. The downside is that team members have to learn Google Docs. But it is a familiar interface and the learning curve is fast.
