Position Title: Staffing Coordinator Department: Nursing

Reports To: Director of Nursing Date: October, 2013 Revised: July, 2016

GENERAL SUMMARY:

Under the supervision of the DON/ADON, responsible for formulating the staffing schedule for all nursing staff within the nursing home.

ESSENTIAL JOB FUNCTIONS:*

·  Uses scheduling software as the primary tool for creating nursing staff schedules at least two weeks in advance.

·  Adjusts nursing schedules by offering days off in exchange for working on days lacking proper coverage.

·  Prints daily scheduling reports and posts on units.

·  Posts scheduling needs on scheduling software, updates schedule on a daily basis as needed.

·  Provides Payroll with necessary scheduling information, verifies nursing hours, updates codes on scheduling software to process an accurate payroll.

·  Meets with DON or designee on a daily basis to discuss any scheduling concerns.

·  Instructs staff to make scheduling requests through scheduling software.

·  Reviews time off requests and compares with scheduling needs. Reviews time off request with DON/ADON for their final approval.

·  Refers all nursing staff to DON/ADON for any extended time off requests.

·  Meets with all new nursing staff to review scheduling software.

·  Provides DON with a list of employee callouts and late punches on a weekly basis.

·  Updates DON on open positions that need to be posted as they occur.

·  Maintains confidentiality of all staffing information.

·  Mandates overtime as needed, tracks mandated overtime uses a revolving list, moving staff to the bottom of the list after mandated overtime.

·  Maintains a professional/productive work environment, by limiting time spent by staff in office to only addressing scheduling questions and not general socialization.

·  Redirects staff to their Unit Manager, DON or ADON for all other issues.

OTHER DUTIES AND RESPONSIBILITIES

·  Overtime may be mandated, as necessary, at the discretion of DON or designee.

·  Maintains productive work environment by limiting time spent by Nursing Staff in scheduling office, to addressing schedule questions only and not general socialization.

·  Promotes and maintains positive community relations.

·  Submits to a TB skin test as required, unless exempted by the Employee Health Nurse.

·  Reports any workplace safety concerns to Supervisor immediately.

·  Performs other related duties as required.

SKILLS/EXPERIENCE/TRAINING REQUIRED:

Duties require knowledge of nursing home staffing equivalent to completion of a high school diploma plus additional courses from a two year college or technical school and one to three years of related experience, or equivalent combination of education and experience.

Proficient knowledge of modern office procedures, practices, and equipment, including the use of computers and related software.

Strong organizational skills.

Must be thoroughly oriented to and agree to comply with all facility policies.

Must comply with State law pertaining to hours worked.

Demonstrates a team-player approach, works well with peers, maintains a cooperative and pleasant demeanor.

Ability to appropriately follow chain of command protocol in carrying out daily job functions.

Must possess a valid driver’s license, a clean driving record, and the ability to drive a van.

SKILLS/EXPERIENCE/TRAINING REQUIRED (continued):

Must be approved to operate all safety equipment in van.

Ability to be empathetic when dealing with a variety of resident health concerns.

Ability to be detail oriented, handle multiple tasks, and work well under pressure.

Excellent listening skills.

Ability to recognize department-wide priorities, scheduling needs and work cooperatively/and independently to fill them.

Ability to communicate effectively both verbally and in writing; to establish positive public relations for the Department and to interact effectively with a wide variety of people.

Ability to perform tasks requiring extensive eye/hand coordination.

Ability to maintain confidentiality of sensitive information.

SUPERVISORY RESPONSIBILITY:

This position has no supervisory responsibilities.

WORKING CONDITIONS/PHYSICAL DEMANDS:

Work is performed primarily in a nursing home environment, which is generally not subject to extremes in temperature, odors, etc.

May spend extended periods at terminal, on telephone, or operating other office machines, requiring eye/hand coordination and finger dexterity.

Required to travel using Nursing Home vehicles.
