Please read the contractual agreement carefully. Potential mentees must agree to work according to the following requirements as well adhere to the milestones in the Mentor/Mentee Dissertation or Doctoral project Timeline Contract. Signing this agreement is a contract between the mentor and mentee.

The mentor [insert name] and mentee, [insert name] do hereby agree to work together in the following manner:

1)  Both parties agree to develop and maintain a trusting and supportive relationship.

2)  Both parties agree to use the class newsgroup (when provided) for all communication and emails when no dissertation class is ongoing.

3)  Both parties agree to adhere to the milestones in the Mentor/Mentee Dissertation Timeline Contract.

4)  The mentee agrees to gain detailed knowledge and adhere to the Academic requirements of completing a dissertation or doctoral project.

5)  The mentee agrees to provide a change chart for all revisions including: a) mentee name, b) section name (Chapter 1, etc) and c) requested revision d) actual revision.

6)  The mentee agrees to obtain the recommend research books to solve the research problem with the data available.

7)  The mentee agrees to hire a dissertation-level doctoral editor at his or her own expense to edit the mentor approved proposal and final dissertation for grammar and APA.

8)  If the mentee is conducting a quantitative dissertation, the mentee agrees to consult with a statistician that will assure the choice of an ample sample size and appropriate test selection, and will help run statistical tests, as needed, at his or her own expense beginning when the sample must be chosen.

9)  If the mentee is conducting a qualitative dissertation, the mentee agrees to consider implementing mentor-recommended qualitative software to analyze patterns.

10)  The mentee agrees to work as a team with the statistician or qualitative software specialist to understand statistical methods to be able to defend the design at Orals.

11)  The mentee agrees to take responsibility for writing the proposal and dissertation. The mentee will initially send 10 -15 pages at a time and respond appropriately to comments/suggestions/ revisions.

12)  The mentee will email the mentor to check on mentor edits, send revisions back to the mentor in a timely manner, and take charge of the dissertation process to meet all milestones.

13)  The mentee agrees to maintain a professional respect for all mentor feedback. This feedback will be based on requirements outlined in the Academic Review Checklist.

14)  The mentor is responsible for approving dissertation content based on requirements, and the mentee acknowledges that the mentor’s role is not a grammar or APA editor.

15)  The mentee takes responsibility for contacting the mentor when questions arise during regular hours (8 AM – 7 PM). Mentee must request phone meetings in advance. Both parties agree to respond to emails within 48 hours unless either party is traveling or out of the country as outlined in advance in the Mentor/Mentee Dissertation Timeline Contract.

16)  The mentor and mentee agree to be available by phone and email following the above parameters.

17)  The mentee and mentor agree to provide contact phone numbers.

18)  The mentor and mentee agree to work together through any conflict to maintain a continued relationship from start to finish until the dissertation is signed. Neither party will resign the position unless both parties agree that it is in the best interests of both parties to substitute another mentor.

19)  Neither the mentor nor the mentee will resign from the mentoring relationship without at least three attempts via phone and/or email to resolve the conflict. Conflict, when managed properly, can promote creativity. Both parties agree to use available tools e.g., the Academic Review Checklist, APA manual and collaboration to resolve differences. If the conflict stems from dissertation requirements, the mentor’s expertise will govern. If either the mentee or mentor fails to maintain email/phone contact for more than 30 days either party may resign from the mentoring relationship without notification.

20)  The mentee agrees to solicit the mentor’s knowledge to select an appropriate committee with the skills needed to match the problem statement, and neither party will solicit committee members based on friendship. Both parties will not select committee members until the problem, purpose, and research questions/hypothesis are approved and ready for committee suggestions

21)  The mentee agrees not to submit proposal or dissertation drafts to committee members until the mentor suggests drafts are ready to submit to the committee. These drafts will occur at critical milestones in the dissertation process.

22)  The mentor’s role is to help the mentee succeed. The mentee agrees to follow instructions the mentor provides. The mentor agrees to provide explicit direction to meet the same goal.

23)  The mentee agrees to work on the dissertation proposal or dissertation at least 30 minutes every day and one hour every weekend despite any job or other online class responsibilities. The mentee acknowledges that this time is required to complete a proposal to meet the critical milestones.

24)  The mentee agrees to check in at least once a week, and to follow up with communication to the mentor within 48 hours. Failing to maintain email contact for more than 30 days will be grounds for resigning from the mentorship without notification.

25)  The mentee agrees to check his/her proposal/dissertation drafts against the Checklists provided and agrees not to submit drafts to the committee unless the mentor approves. The mentor agrees to return timely edits on draft proposals. Drafts must contain few or no grammar errors, and must be properly formatted in APA

26)  The mentor and mentee agree to work together, in the spirit of collaboration to ensure that the relationship is a mutuality rewarding and satisfying experience for both parties.
