The meeting was called to order at 1:30 P.M.

October 22, 2002 Minutes

PSCN 10 Approval– Alene Hamilton

Dr. Hamilton is waiting to hear from the Chabot College counselors for approval of the PSCN 10 course proposal before taking it to the curriculum committee.

PSCN 11 –

Discussion was tabled until the next meeting to get clarification from Denise VanHorn-Landre regarding transferable units.

Triage – Stephanie Foley

Ms. Foley is still working on the process for handling students at busy times. There is general consensus that the process is needed and the sign-up form needs some revisions. Dr. Roshong will monitor the number of students to determine when triage should be implemented.

Transcripts – Steven Bundy

Mr. Bundy provided basic instruction on how to use ATI student records, provided a hand out to show how to access and print transcripts, and how to use SPAIDEN form in BANNER. Ralph Kindred is working on a system to make notes in BANNER and a more efficient way to get transcripts. Mr. Bundy will check with San Mateo to find out how they use BANNER. Mr. Hoyos will invite Mr. Kindred to a student services meeting to discuss these issues.

Senior Parents Night – Dr. Roshong

Dr. Roshong requested that the facilitators contact the faculty and administrators in their discussion groups to finalize plans for the evening.

Hiring Committee Meeting

The hiring committee has convened and selected eleven people to be interviewed on November 18 and 19 for a part time counselor position. Ms. Acacio has volunteered to train on Saturdays, if necessary.

Retreat

Dr. Roshong has been researching possible facilitators for the retreat. Limited funds are creating a challenge. Mini-grant funds may be a possible funding source. Mr. Hoyos will provide a name of a possible facilitator at San Mateo College.


Front desk – Dr. Roshong

Dr. Roshong advised the front desk to make counselors available for drop-in counseling if appointments are ten minutes late. If a student is very late, the counselors will determine if there is enough time to see the student.

Counselors were reminded to fill out a pink slip to indicate absence in addition to the conference request form to assist in scheduling.

Gilberto Victoria indicated that he is interested in counseling during the winter break.

The orientation schedule still needs several people for break and spring semester.

Admissions and Records and Counseling will coordinate hours during the semester break.

Counselors need to provide finals week schedules.

Committee Reports

Ø Student Success – Angella VenJohn indicated that the committee is looking at mid-semester progress reports. Mr. Bundy was a guest at the meeting to discuss the process. The committee is looking at ways to increase faculty participation. Bill McDonald will be a guest speaker at a future meeting.

Ø Health & Safety – Brian Owyoung

The new smoking shelters will be installed in January. The committee will be doing some education at the college.

IPC Meeting

The counselors would like to submit a position request for a new counselor. Dr. Roshong will propose the request at the next IPC meeting. Another counselor would be very helpful with the increase in our student population.

The faculty positions may be deferred due to state economics. The college will go ahead and prioritize in the event that positions are approved.

Instructional Block Grant

November 8th is the deadline for submitting instructional block grant requests. The division will request a copy machine for the tutorial center. The counselors would also like to be able to print transcripts. A network printer is now available in the counseling area for counselors to print transcripts.
