Introduction

This guide is designed to assist extension users on a Siemens Hicom 300E Communications System to use all authorised features.

Your extension may not be authorised * to use all features. The Siemens representative can confirm features that are available to you.

Your extension may also be subject to trunk barring thus restricting where you may dial.

A variety of analogue handsets are available for use on the Hicom 300E. For individual Handset features please refer to a separate manual.

*- Authorised features are those features that your company has designated for your use and may vary from extension to extension.

Internal and External Dialling

Dialling Another Extension

·  Lift handset, listen for internal dial tone

·  Dial the required extension number

Dialling an External Number

·  Lift handset, listen for internal dial tone

·  Dial line access code (code is normally 0)

·  Dial the required external number

Your telephone may have restricted dialling facilities, eg. International calls may not be permitted.

Dialling the Switchboard

·  Lift handset, listen for internal dial tone

·  Dial code for switchboard (code is normally 9)

Transfer

You may transfer an internal or external call from your extension to any other extension or to the switchboard.

Transfer to a Free Extension (Announcing the Call)

·  Press Recall key, listen for internal dial tone

·  Dial the required extension or switchboard

·  When the extension or the switchboard answers, announce the call and replace handset

If called party does not answer

·  Press Recall key

·  Internal dial tone is heard briefly

·  You are now connected to the original call

Transfer to a Free Extension (Call not Announced)

·  Press Recall key, listen for internal dial tone

·  Dial the required extension or switchboard

·  When you hear ring tone, replace handset

The call has now been transferred. If the ringing extension does not answer within a predetermined time the call will automatically recall back to your extension.

Transfer to a Busy Extension

·  Press Recall key, listen for internal dial tone

·  Dial the required extension number

·  When your hear busy tone, replace handset

The call has now been transferred to the busy extension. If the busy extension terminates the call within a predetermined time and replaces the handset the transferred call will ring the extension. If the extension remains busy the call will automatically recall back to your extension.

Consultation Call

This feature allows you to put an existing call on hold, consult with another extension or external party and then return to the original call.

Activate Consultation Call

·  Press Recall key, listen for internal dial tone

·  Dial the required extension number or dial 0 and then the required external number

·  Conduct your conversation

·  Press Recall key to return to the original call

You may use the Toggle facility to switch between the two calls.

Toggle

If you have a call on the line and you wish to make a consultation call you may want to toggle between both calls.

Activate Toggle

·  After making a Consultation Call

·  Press Recall key, listen for internal dial tone

·  Dial the required extension or external number preceded by 0 for outside line

·  When 2nd party answers press Recall *12

·  You may now toggle between the two parties by pressing Recall key

The waiting party cannot hear your conversation.

Hold

If you wish to put a caller on Hold

·  Press Recall

To retrieve the caller

·  Press Recall again

3 Way Conference

This feature allows you to bring 2 parties into a conversation on your extension. The 2 parties could be external, internal or a mix of both.

Activate an 3 Way Conference

·  Dial the first number you require

·  Press Recall key, listen for internal dial tone

·  Dial the next required extension or 0 and the external number

·  Press Recall key

·  Dial *3

·  Conference tone is heard and 3 parties are connected

Consult with an internal or external party when busy with a conference

·  Press Recall key, listen for internal dial tone

·  Dial the required extension or 0 and the external number

·  Consult with party

·  Press Recall key

·  You are now reconnected to the conference

Call Pick Up

The call pick up feature allows you to answer any ringing extension in your pick-up group from your telephone.

Activate Call Pick Up

An extension within your pick-up group is ringing

·  Lift handset, listen for internal dial tone

·  Dial *7

·  You will now have answered the call

Directed Call Pick Up

If you wish to answer a ringing telephone that is not in your Pick Up Group or you need to retrieve a call from Hold on another extension you may use the Directed Call Pick Up feature.

Activate Direct Call Pick Up

·  Lift handset, listen for internal dial tone

·  Dial #7

·  Dial the Extension number you require

·  You will now have answered the call

Last Number Redial

If you would like to redial the last number that you have called

·  Lift handset, listen for internal dial tone

·  Dial #4

Saved Number Redial

If you would like to save the number you have just called in order to redial at a later time

·  Before you hang up from the call

·  Dial *4

When you wish to redial the Last Number you saved

·  Lift handset, listen for internal dial tone

·  Dial *4

Call Back

Call Back requests can be left on extensions which have been rung and not answered or are busy.

Activate Call Back – Busy

If the Extension you have called extension is busy

·  Dial *28

·  Confirmation tone is heard

·  Replace handset

The system will automatically call you back when both your extension and the called extension are free.

·  Lift handset

·  Ring tone is heard as the required extension is rung

Should you fail to answer to Call Back that your have activated, the system will automatically cancel the feature after ringing your extension for a predetermined time.

Activate Call Back – No answer

If the extension you have called extension does not answer

·  Dial *28

·  Confirmation tone is heard

·  Replace handset

When the called party returns to the office and has used the telephone the system will ring your telephone.

·  Lift handset

·  Ring tone is heard as the required extension is rung

Cancel Call Back (Before Ring Back)

·  Lift handset

·  Dial #28

·  Confirmation tone is heard

·  Replace handset

Fixed Call Forwarding

Your extension can be forwarded to a fixed destination for answering.

Program or Change Fixed Call Forwarding

·  Lift handset, listen for internal dial tone

·  Dial *20

·  Dial required extension number or 0 and external number

·  Listen for confirmation tone

·  Replace handset

The Fixed Call Forward destination has now been permanently programmed. Calls will now go to the Fixed Call Forward destination immediately.

When you lift your handset, special dial tone will also be heard to remind you that the feature is activated.

Deactivate Fixed Call Forwarding

·  Lift handset

·  Dial #21

·  Listen for confirmation tone

·  Replace handset

When Fixed Call Forward destination has been programmed but deactivated it will serve as Call Forward No Answer and, or Busy.

Reactivate Fixed Call Forwarding

·  Lift handset, listen for internal dial tone

·  Dial *21

·  Listen for confirmation tone

·  Replace handset

Calls will now go to the Fixed Call Forward destination immediately.

Cancel Fixed Call Forwarding

To cancel fixed call forwarding it must be deactivated first.

·  Lift handset, listen for internal dial tone

·  Dial #20

·  Listen for confirmation tone

·  Replace handset

A new destination number must now be programmed before Fixed Call Forwarding can be used again.

Variable Call Forwarding

You can choose to forward your phone to another extension, switchboard or external number as a once off forwarding. When it is set all your calls will follow the destination. When you cancel your variable call forward your telephone will return to any pre programmed fixed call forwarding or if no fixed call forwarding is programmed callers will receive busy tone when you are busy.

Program Variable Call Forwarding

·  Lift handset, listen for internal dial tone

·  Dial *21

·  Dial required extension number or 0 and external number

·  Listen for confirmation tone

·  Replace handset

When you lift the handset, special dial tone will be heard to remind you that the feature is activated.

Cancel Variable Call Forwarding

·  Lift handset

·  Dial #21

·  Listen for confirmation tone

·  Replace handset

Calls will now ring as normal on your extension.

System Abbreviated Dial

The system allows the storage of 16000 external telephone numbers divided into 16 groups, each containing 1000 numbers. You can have access to 2 groups ie: 2000 numbers. By utilising the system abbreviated dialling you will be permitted to dial specific number that would be outside your normal trunk barring limits.

Use the System Abbreviated Dialling

Group 1

·  Dial *61

·  Dial the relevant code (ie 100)

·  Wait while the system dials the number for you.

Group 2

·  Dial *62

·  Dial the relevant code (ie 100)

·  Wait while the system dials the number for you.

Individual Abbreviated Dial

In addition to the System Abbreviated dialling lists you may program 10 additional numbers, under the dial keypad digits 0-9, for your exclusive use.

These numbers will, however, be subject to any trunk barring limits, which apply to your extension.

Program Numbers

·  Lift handset, listen for internal dial tone

·  Dial #8

·  Enter digit (0-9) under which to store new number

·  Enter required external number (preceded by 0 for outside line)

·  Replace handset

Dial Numbers

·  Lift handset, listen for internal dial tone

·  Dial *8

·  Enter digit (0-9) under which required number is stored

·  Wait whilst system dials the number

When you enter a number in a location that already has a stored number this will be deleted and the new number accepted.

Voice Call

If you wish to make a Voice Call (ie: ring an extension and have it answer Automatically)

·  Lift handset

·  Dial *16 Plus Extension Number

·  You will receive Ring Tone

If the person you are calling is allowing Voice Call, their extension will Beep and you will connect directly through on Handsfree.

Hunt Groups

If you are a member of a Hunt Group you are able to Log In and Out of the group.

Logging In to Hunt Group

·  Lift Handset

·  Dial *10

Logging Out of Hunt Group

·  Lift Handset

·  Dial #10

Do Not Disturb

If you wish to put your phone into Do Not Disturb and you have the appropriate Class of Service (See Administrator for further Details) you may use the following Codes.

When you are in Do Not Disturb external callers will be intercepted by the Switchboard Operator but internal calls will receive ring tone.

Activate Do Not Disturb

·  Lift handset

·  Dial *27

When your handset is in Do Not Disturb you will get an interrupted Dial Tone to remind you.

Deactivate Do Not Disturb

·  Lift handset

·  Dial #27

Night Service

When the night bell rings

·  Lift handset, listen for internal dial tone

·  Dial *11

·  You are now connected to the caller

Check with System Administrator if any other type of Night Service is operational.
