Some Tips From Your Rodeo Secretary

For the 2017-2018 Rodeo Season

1. We have a mail-in entry. I will only accept faxed entries if it is really necessary, and only in urgent situations. If you do fax an entry, you MUST mail the original entry form and your check the same day of the fax. If the faxing of entries is abused or repeated, we will stop accepting faxed entries.

2. Please pay attention to the deadline for entries to a rodeo. The deadline is clearly indicated on the entry form, and the deadline is generally a postmark deadline, but may be a “must be received by”. Entry forms will be posted on the website - they will not be mailed to members unless requested.

3. Please complete your entry form carefully. Make sure the entry fee calculation is correct, your check is issued for the right amount, and your check is signed. Make sure both parents have signed the Medical Release. Mail your entry in plenty of time to reach me by the indicated deadline. It is your responsibility to insure entries are mailed, postmarked and received by all indicated deadlines.

4. You can call starting the Wednesday PRIOR to the rodeo to find out if you have drawn up in the performance or slack. Please call prior to 9:00 pm any night.

5. If you are mailing entries for more than one rodeo, please write a separate check for each entry form/rodeo. If you put two rodeos on the same check, it will be deposited at the time of the earliest rodeo.

6. If you send your entry form Express or Overnight Mail (or equivalent), waive the signature requirement. If I have to sign for it, it delays the entry at least one day, which could mean that I will not receive your entry by the deadline. Again, this is your responsibility to insure I receive it by the deadline.

7. You can request slack IF we are having slack (we don’t always have slack in every event). It is your responsibility to know when you are up in a rodeo.

8. The only circumstances you can request performance are: graduation, SAT/ACTs or death in your family (this is per the IHSRA bylaws). If the rodeo is scheduled in your hometown area, you can indicate such on your entry form, and if possible every effort will be made to schedule you for at least some events in one of the performances. This is not guaranteed as the draw is random, but every effort will be made.

9. Once I have done the position draw, if you draw out, the only way you will be refunded your entry fee is if you have a note from a physician or veterinarian within one week of the rodeo. The refund you receive will be less the stock fees, office fee and scholarship contribution. If you are a “no show”, and do not call to advise the rodeo secretary and stock contractor you are a draw out, you will not receive a refund for any of your fees for that rodeo.

10. We have early check-in times for the rodeos for several reasons. Make sure you attend all contestant meetings. Important information is announced during these meetings. If you are not there, you may miss some important information and it is your responsibility to obtain this information. Please make all meetings.

11. Last, but not least, you and your parents should read everything you get from IHSRA. It could save some problems in the future.
