Rules for League Funding of Tournament Teams

GSLL Tournament Travel:

GSLL may, but is not required to provide financial assistance to players, Managers, and coaches traveling out of town to a Little League sanctioned All Star competition (State). “Out of Town” is considered 75 or more miles from Old McQueen Park.

Purpose:

· To provide a consistent process in determining the possible financial assistance amount for GSLL Tournament team(s).

Definition:

· Tournament Team: Any Gilbert Softball Little League All Star team.

District Tournament:

· No financial assistance will be provided for District tournaments.

State Tournament:

· Lodging: The league may pay lodging cost for each player, the Manager, and up to two coaches based on double occupancy at a hotel/motel located in the tournament host city/town. If a player stays with his/her parent(s), the league may pay one-half the cost of the room provided it does not exceed one-half the cost of a room the league would have provided. This one-time payment per tournament will be calculated based on the State of Arizona “In-State Lodging and Meal rates” for State employees (see website Page 1 for details: http://www.gao.az.gov/publications/SAAM/Supp_I_trvrates-012308.pdf).

The amount is calculated by multiplying the daily lodging rate by the total number of players, manager and coaches. For example, if the team consists of 12 players, a manager and two coaches (total of 15 people), then the total provided for lodging for the tournament would be the daily lodging rate multiplied by 15. If the tournament were played in Tucson, AZ the total provided by the League would be $1245 (15 multiplied by $83). This is not a daily amount. It is the maximum to be provided by the League for the duration of the tournament.

· Meals: The league may also provide a limited amount of funds for meals for the players, manager and up to two coaches. This one-time payment per tournament will be calculated based on the State of Arizona “In-State Lodging and Meal rates” for State employees (see website Page 1 for details: http://www.gao.az.gov/publications/SAAM/Supp_I_trvrates-012308.pdf).

For example, if the team consists of 12 players, a manager and two coaches (total of 15 people), then the total provided for meals for the tournament would be the daily meal rate multiplied by 15. If the tournament were played in Tucson, AZ the total provided by the League would be $660 (15 multiplied by $44). This is not a daily amount. It is the maximum to be provided by the League for the duration of the tournament.

Tournament Transportation:

At the discretion / approval of the Board of Directors, the league may provide money toward the rental of a bus to transport the players, two coaches and the manager to the tournament. This will only apply if the tournament is at least 120 miles (approximately 2-hour drive) from Gilbert, Arizona. Parents, siblings, league officers and others may also travel on the bus provided they pay a pro-rata share based on the number of total passengers on the bus. For example, if there are a total of 16 players, coaches and managers, and 32 other people on the bus, the league will pay one-third of the cost of the bus because the team personnel make up one-third of the passengers. The other passengers will be responsible for the other two-thirds cost of the bus based on a pro-rata share.

Regional and Little League World Series (Williamsport, PA):

Little League, Inc. provides lodging and meals for players, coaches and managers at the Regional and Little League World Series tournament games. Therefore, the league will not provide any additional funding for these tournaments. Parents, officers and others attending these tournaments will be responsible for their own lodging and meals.

Any deviation from the policies noted above for traveling All-Star teams must be recommended by the League President and approved by the Board of Directors prior to the tournament.

**Note(s)**:

· The amount of financial support Gilbert Softball Little League (GSLL) provides is dependent on how many GSLL All Star teams are traveling and the current financial condition of GSLL. Actual funds per tournament team dispersed could be less than what is stated.

· Initial funds will be drawn from the league’s “All Star General Fund” and subsidized by the leagues “General Fund”, if required.

· GSLL encourages Tournament teams to conduct local fundraisers as the primary source of funds for tournament travel.

· Travel funds are only to be used for tournament team players, Manager, and coaches lodging and meals. No tobacco or alcohol is to be purchased with league funds.

· Travel funds will be released to Tournament Team(s) Manager(s) two days prior to departure and will be dispersed by GSLL Debit Card or Pre-Paid Credit Card. All receipts for any/all transactions must be submitted to the League within seven calendar days of the team’s last game.

· Any transaction that is not supported by the proper documentation must be reimbursed to the league.
