PowerSchool Standard Data Quality

·  Do not use commas (,), asterisks (*), parenthesis (“(“or”)”), and quotes (“”) from name fields. Periods should only be used when they appear on the birth certificate

·  Acceptable: Apostrophes (‘), hyphens (-), and spaces between multiple words in a name field are acceptable.

·  Acceptable special characters

Special characters that are part of ethnic/cultural names (such as the "n" with a tilde over it in many Hispanic names, accented “e” in some French names, vowels with two dots) can be used as long as they use the ASCII US/DOS US standard. (See page 2)

Use Full Legal Name as it appears on the Birth Certificate or legal document.

·  Name changes should be made in the Registration page only

Last Name: Initial capitals, Doe

First Name: Initial capitals, Jane; Mary-Jane

Middle Name: Initial capitals, use Full Middle Name, Jane Marie

Generation: Generation suffix (Jr., Sr., II, III, etc) should be entered in the Gntrn field on the Student Atom and not in the name fields.

Mailing Address: Do not use periods or any punctuation after abbreviations. (*Exception to this would be a comma and space to separate the Street from the Apartment number, such as 456 Pleasantville Ct, B)

Residence Address: Click on the arrow in the Mailing Address field to open the Residence Address field; enter the Emergency 911Address where the student lives, even if it is the same address as the Mailing Address. (Use the same format as the Mailing Address above)

This document lists the allowable characters from the DOS United States character set that can be accurately transferred via the SWEET tool.

The following steps provide one of several ways to insert one of these characters into a word:

1.  Be sure the “NumLock” key (located at the top on the right side of most keyboards) is on before you proceed.

2.  Locate in the table below the special character you want to type.

3.  Hold down the “Alt” key while you type the four-digit number. Note: Be sure to use the numbers on the numeric keypad (which is on right side of most keyboards) keys, not those on the top row of your regular keys.

4.  Release the “Alt” key, and the character with the diacritical mark accent will be typed into your document.

5.  Do not apply bold, italics, or underlining to the characters after you type them.

Mailing Contact field on the Registration page is the same as the Parent/Guardian Name ¾ Name of the primary parent or guardian. This should be the same as the parent or guardian identified as the responsible adult in the Parent/Guardian page.

Birthdate: Obtain from Birth Certificate and make a copy for the permanent record.

Social Security Number: Obtain from Social Security Card and make a copy for the permanent record. Do not put a temporary SSN in PowerSchool if Student does not have SSN.
