Job Title: Events Assistant

Reporting to: Event Development Manager

Department: Fundraising

PURPOSE OF THE JOB

Support the Events and Community Engagement teams in delivering fundraising activities and engaging supporters, through effective administration, communication and project management, to generate income and awareness for Leonard Cheshire Disability.

KEY RESPONSIBILITIES

·  To help implement marketing plans for specific community and events activities.

·  To write and produce imaginative promotional materials to attract supporters.

·  To identify and research new promotional opportunities and maintain and develop existing relationships.

·  To be the first contact point for community engagement and events enquirers.

·  To help ensure community and events web pages are regularly refreshed with attractive and engaging copy/images.

·  To help deliver participant management programmes to maximise supporter engagement and income for Leonard Cheshire Disability. To include:

-  Help with the writing and producing of newsletters, training programmes and fundraising support materials.

-  Motivating participants via phone calls and emails.

-  Responding to queries in a timely manner.

·  To organise small scale events. To include:

-  Managing the invitation process.

-  Liaising directly with venues and suppliers, negotiating best prices for products and services.

-  Recruiting and briefing volunteers.

·  To support the delivery of special events and third party relationships. To include:

-  Sourcing prizes for raffles and auctions.

-  Assisting with the front line selling of tickets/tables.

·  To contribute to post event evaluation reports to inform future event planning.

Financial and Administration

·  To ensure gift aid is recorded and claims regularly made.

·  To accurately code and monitor Events income and expenditure.

·  To maintain and develop efficient administration systems for the community events teams.

·  To develop best practice procedures for recording community and events data on Raisers Edge.

·  To monitor levels of merchandise (t-shirts, collection boxes, stickers, caps) and fundraising materials (posters, fundraising packs, sponsorship forms), re-ordering and replenishing stocks as necessary for the team.

General

·  To contribute to the development of the community and events strategies.

·  To input into the budgeting process, conducting research to inform income and expenditure forecasts.

·  To input into the work of volunteers and work experience placements, writing procedure notes and briefs.

·  To keep abreast of developments within the external fundraising environment on behalf of the team.

·  To maintain effective working relations with other Leonard Cheshire Disability personnel to achieve objectives – to include the wider Funding Team, Finance, marketing and communications and Volunteering.

·  To keep up-to-date with developments within Leonard Cheshire Disability to be able to speak knowledgeably to supporters so they know how their money is spent.

·  To have an understanding of possible legal requirements related to community and events fundraising.

·  To undertake any other reasonable duties as requested.

PERSON SPECIFICATION

Essential Qualifications

·  To be educated to A-level or equivalent.

Essential Other

·  To have experience of working in a busy office environment.

·  To have experience of fundraising.

·  To be willing to travel and stay away overnight.

·  To have a genuine commitment to the values and ethos of Leonard Cheshire Disability.

·  To have excellent communication skills.

·  To have good verbal, written and presentation skills.

·  To have good interpersonal skills.

·  To be able to initiate and organise projects through to completion.

·  To be able to work on own initiative.

·  To have excellent time management skills.

·  To have sound IT skills, with a good working knowledge of Microsoft Office – Word, Excel, PowerPoint, and experience of using databases to manage and report on participant data.
