Job Title: Events Officer
Reporting to: Events Manager
Department: Fundraising
PURPOSE OF THE JOB
To play an integral role in the development and implementation of events to generate income and awareness for Leonard Cheshire Disability.
KEY RESPONSIBILITIES
· To draft operational timelines and plans for delegated events
· To contribute to the development marketing strategy and implement plans for specific events
· To manage a program of marketing communications, writing and producing imaginative promotional materials to attract and recruit event participants.
· To identify and research new promotional opportunities and maintain and develop existing relationships.
· To ensure the Events pages and social media are regularly refreshed with attractive and engaging copy/images and that search engine optimisation is maintained.
· To deliver participant management programmes to maximise participants’ enjoyment from events and income for Leonard Cheshire Disability. To include:
- Writing and producing newsletters, training programmes and fundraising support materials.
- Facilitating on-line discussion forums.
- Motivating and inspiring participants with regular phone calls and emails.
- Responding to queries in a timely manner.
· To organise small scale events. To include:
- Managing the invitation process.
- Liaising directly with venues and suppliers, negotiating best prices for products and services.
- Recruiting and briefing volunteers.
- Briefing guest speakers.
- Ensuring risk assessments are implemented.
· To support the delivery of special events and third party relationships. To include:
- Sourcing prizes for raffles and auctions.
- Assisting with the front line selling of tickets/tables.
· To contribute to post event evaluation reports to inform future event planning.
· To undertake speaking engagements and cheque presentations on behalf of Leonard Cheshire Disability as required.
Financial & Administration
· To ensure gift aid is recorded and claims regularly made.
· To accurately code and monitor Events income and expenditure.
· To maintain and develop efficient paper based and electronic administration systems.
· To develop best practice procedures for recording Events data on Raisers Edge.
· To monitor levels of merchandise (T-shirts, collection boxes, stickers, caps) and fundraising materials (posters, fundraising packs, sponsorship forms), re-ordering and replenishing stocks as necessary.
General
· To contribute to the development of the events strategy.
· To input into the budgeting process, conducting research to inform income and expenditure forecasts.
· To manage the work of volunteers and work experience placements, writing procedure notes and briefs and supervising work.
· To keep abreast of developments within the external fundraising environment.
· To maintain effective working relations with other Leonard Cheshire Disability personnel to achieve objectives – to include the wider Fundraising Team, Finance and Volunteering.
· To keep up-to-date with developments within Leonard Cheshire Disability to ensure event participants know how their money is spent.
· To ensure all fundraising activities comply with legal requirements.
· To undertake any other reasonable duties as requested.

PERSON SPECIFICATION
Essential requirements
· To be educated to A-level or equivalent.
· Demonstrable experience of organising and promoting fundraising events.
· Prior experience of using a database to manage participant data, with some understanding of using that data to generate reports (knowledge of Raisers Edge would be advantageous).
· To have marketing experience.
· To be able to travel and stay away overnight.
· To have a genuine commitment to the values and ethos of Leonard Cheshire Disability.
