TEAM MEETING 1 OCTOBER
Agenda:
§ Introduce and welcome Community Arts Team (CAT)
§ Set Context: Introduction and overview of Community Arts Education project goals
§ Identify characteristics of your community (consensus workshop)
§ Introduce process for data collection for Current Status of Arts Education Programs and Current Funds
§ Assign team members to collect data for completion of Current Status charts
Follow Up:
§ Collect data for Current Status and Current Funds charts (assigned team members)
§ Schedule Board Meeting dates
TEAM MEETING 2 NOVEMBER/DECEMBER
Agenda:
§ Review Current Status data, identifying gaps in program areas (focused conversation)
§ Review Current Funds data, identifying gaps in funding (focused conversation)
§ Set context for Policy discussion; distribute sample Arts Education Policy documents
Follow Up:
§ Finalize data and compile charts for Current Status and Current Funds (assigned team members)
§ Review Policy documents (all)
TEAM MEETING 3 JANUARY
Agenda:
§ Develop Arts Education Policy language (focused conversation)
§ Assign team members to take committee’s ideas and draft district policy
§ Review summary charts of Current Status and Current Funds (focused conversation)
§ Introduce strategic planning process
Follow Up:
§ Draft policy (assigned team members)
TEAM MEETING 4 FEBRUARY/MARCH
Agenda:
§ Review draft policy – recommend changes as needed (focused conversation)
§ Begin Strategic Planning:
- Articulate long range vision and goals (consensus workshop)
- Examine strengths and weaknesses of current programs
- Articulate challenges to achieving the vision and strategies to overcome the challenges
- Articulate priorities of broad phased-in approach of long-range plan
- Assign sub-committees to specific focus areas (draft phased plan for each focus area)
Follow Up:
§ Review Policy document with Superintendent (co-chairs)
§ Confirm schedule for First Reading at a School Board meeting
§ Sub-committees draft phased plan for each focus area
SCHOOL BOARD ACTION: First reading of district arts policy SUGGESTED: FEB OR MARCH
TEAM MEETING 5 MARCH/APRIL
Agenda:
§ Continue strategic planning process
§ Review and/or continue identification of challenges
§ Identify priorities
§ Surface questions and concerns
TEAM MEETING 6 APRIL/MAY
Agenda:
§ Attach budget implications and funding strategies to phased plans
§ Review Final Report/Board Presentation format
§ Assign report sections to team members and select overall writer/editor
§ Review timeline for completion
Follow Up:
§ Finalize Long-Range Plan (assigned team members)
§ Draft Final Report/Board Presentation (assigned team members)
§ Coach to review plan and presentation
§ Cultivation of Superintendent, School Board (assigned team members)
TEAM MEETING 7 JUNE
Agenda:
§ Review Final Report/Board Presentation draft
§ Rehearse Board presentation
§ Complete evaluation
Follow Up:
§ Distribution of final documents to Superintendent, School Board, team members, coach, (co-chairs)
§ Present budgeted plan to School Board for adoption (all)
SCHOOL BOARD ACTION: Policy and Plan Presentation JUNE
Agenda:
§ As needed, 2nd Reading of Arts Policy
§ Present Arts Education Strategic Plan to Board
Follow Up:
· Respond to questions from the Board as requested
SCHOOL BOARD ACTION: Policy and Plan Adoption JUNE or JULY

§ Further discussion of the plan as needed
§ Expected adoption by the board.
