The Hawkeye Chapter has achieved all chapter charter maintenance core competency items for a total of 3,425 points and submits this petition for consideration as Chapter of the Year for its chapter size category. A summary of the points earned is located in the appendices.

Administration Matters

Annual Performance Report

(200 points)

The Chapter’s Annual Performance Report and this petition were submitted to the Regional Vice President, and Society headquarters on July 20, 2010.

Chapter Officer and Delegate Report

(200 points)

The Chapter elected its officer and delegates on April 5, 2010, and submitted the results of the election to the Regional Vice President and Society Headquarters on April 12, 2010.

Chapter Annual Financial Report

(200 points)

The Chapter submitted its annual financial report to the Regional Vice President and Society Headquarters on May 28, 2010.

Maintenance of Chapter Bylaws

(200 points)

The Chapter reviewed its bylaws on January 4, 2010 and determined no changes were needed. The bylaws will again be reviewed in 2011, and will be submitted to the RVP and Society at that time. Maintenance of Chapter Incorporation and Affiliate Agreement

(200 points)

The Chapter is incorporated in the state of Iowa and maintained its incorporation status throughout the chapter year. We registered our Vice President, Josh Jacobsen, as the Registered Agent with the State of Iowa, as the Vice President is on the Executive Committee for two years. We will update our registered agent form when Josh Jacobsen is no longer serving on the Chapter Executive Committee. The Chapter also maintained its affiliation agreement with the Society.

Operations and Strategic Plan

The Chapter submitted its Operations and Strategic Plan on July 31, 2009.

Leadership Matters

House of Delegates Representation

(100 points)

The Chapter’s delegate, Mike Bohnenkamp, was present to represent the Chapter at the Annual House of Delegates meeting held on June 13, 2010, in Baltimore.

Assistance for Society, Region and/or Area Activities

(25 points)

The Chapter hosted the Spring ROC meeting in 2009 and soon realized the financial costs of the event. As a result, the Chapter donated $100 to help support the Spring 2010 ROC meeting in Wichita.

Submitted Required Regional/Area Operating Committee Reports

(50 points for one, 150 points for 2 or more)

The Chapter submitted Regional Operating Committee reports as required. The Region held two meetings during the chapter year, and reports were submitted for both of them on September 4, 2009 and March 31, 2010. Our reports are shown in Appendix B.

Attendance to Regional Operating Committee Meetings

(100 for one, 300 points for 2 or more)

The Chapter President and/or Vice President attended two Regional Operating Committee Meetings. The first meeting was held in September 18, 2009 in Des Plaines, IL, the Vice President Josh Jacobsen attended. The second meeting was held in April 17, 2010 in Wichita, KS the V.P. Josh Jacobsen and President David Hraha attended.

Leadership Training

(100 points)

The Chapter recognizes the importance of leadership training. The Chapter provided its officers with leadership training by sending Chris Murphy, Chapter Secretary, to the annual Society Leadership Conference/Regional Leadership Training session. Other officers attended this training session in a previous year. All officers were provided with training on the responsibilities of their positions through the Society online training programs. Officers that took on-line training on Officer Central: David Hraha - President, Josh Jacobsen - VP, Tammy Swenson - Membership, Duane Otto - Gov. Affairs, Paul Kittelson – Treasurer.

Planning Meeting

(50 points)

The Chapter’s Executive Committee conducted two planning meetings prior to the Chapter’s first general member meeting of the year. The agenda for the planning meetings are shown in Appendix C. The primary focus of the meetings was to determine review the previous year’s STARS report, identifying ways to improve the Chapter. We decided at that meeting to strive for Chapter Star status, which no one could recall ever have being achieved. We also decided on dates for meetings, reviewed the strategic plan, and assigned roles for completing STARS items not previously captured, discussed changes to the Chapter’s website, planned the Scholarship Golf Outing, and required members to review Chapter Officer Training. These meetings held on July 17, 2009 and August 13, 2009, set us off on what was definitely a great year for Hawkeye Chapter. Officer Succession and Training Plan

(50 points)

To ensure the continued success of the Chapter, the Chapter has developed a succession plan that includes officer recruitment and training. A nominating committee, chaired by the Immediate Past President, seeks qualified individuals to serve on the Chapter Executive Committee. Earlier this year, we developed a succession plan, which assists members in deciding what position might be best for them should they decide to volunteer. Members may click on the position to get a description of the responsibilities.

Officer Transition

(25 points)

To ensure the smooth transition of duties and resources from prior year officers to this year’s officers, the Chapter used a duty checklist. The checklist was derived from information available from ASSE Officer Central, with very minor changes based on the operation of the Chapter. Each elected position has its own duty checklist, and all checklists are maintained by the Chapter Secretary. All checklists are shown in Appendix D.

Meeting Notices

(50 points)

To help ensure meeting attendance, the Chapter sent out notices announcing the meeting, date, time, location, and luncheon menu at least 14 days prior to the event. The Chapter sent all meeting announcements by e-mail, downloading an updated chapter roster prior to each e-mail being sent. 100% of our chapter members indicated that e-mail was their preferred method of receiving information about chapter activities. In addition to the initial e-mail sent 14 days before the meeting, a follow-up reminder is sent five days before the meeting. About 25% of our RSVPs come from this meeting reminder.

Member Recognition

Recognition of Service

(25 points)

The Chapter recognized its members for their service to the Chapter throughout the course of the year. At our first meeting in September 2009, we recognized our Immediate Past President, Joanna Wilson, for her service as President the previous year. Joanna also served as the Chapter’s Vice President for two years and the Treasurer for one year. She was elected as Chapter Secretary for the upcoming 2010/2011 Chapter year as well.

We also started a program in which members celebrating five year incremental anniversaries were recognized in our meeting announcement and if they attended the meeting, were provided with a certificate (example shown next page).

Chapter Safety Professional of the Year

The Chapter recognized Matt Deutsch of Hydro-Klean in Des Moines as its Safety Professional of the Year during our May 2010 Professional Development Conference. Matt was selected from the group of those nominated based on an application and narrative provided by Matt’s co-worker. The narrative is shown on the Hawkeye Chapter website, www.hawkeye.asse.org.

Public Recognition of Members through Chapter Media

The Chapter provides recognition to its members throughout the year. The recognition takes the form of our Member Spotlight on the Chapter Website. We started the member spotlight in December 2009 upon the request of our Membership Chair. We plan to profile a new member every two months. To date, we have profiled:

Public Recognition of Members through Public/Society Media

In addition to the use of Chapter media to recognize members, the Chapter also uses public and Society media to publicize the recognition of its members’ contributions and accomplishments. Our Chapter Secretary, Chris Murphy, was named Distinguished Graduate of the Insurance Institute of America’s Associate in Risk Management (ARM) and Associate in Commercial Underwriting (AU) programs. The news release including this information was shared with Society for inclusion in Chapter media if desired. Recognition was posted on the Region 5 website http://region5.asse.org.

Chapter Newsletters

Published Newsletters

(15 points for each publication up to a maximum 180 points)

The Chapter published nine newsletters this year. The newsletters were distributed to members via the chapter website, www.hawkeye.asse.org. The newsletter links are located on the left hand column of the Chapter home page.

Newsletter Graphics and Photographs

(25 points)

The Chapter enhanced its newsletters by including photos. The majority of photos were taken at Chapter events. We also maintain a separate Photo Gallery on our website, with photos taken by our Historian, Dallas Palmer. Examples are located in Appendix E and at http://www.hawkeye.asse.org/photos.php.

Newsletter Focus on Members

The Chapter focused its newsletter on its members. The primary purpose of the newsletter was to convey information available in a more developed form on the website. That is, rather than place information directly in a newsletter; we prefer to keep sections of the website devoted to certain topics, such as our Job Opportunities page, Photo Gallery, and Membership Spotlight.
