Paperwork to OneSite Audit

Managers/Assistants: While plugging in the Incentive Program Worksheet (IPW) and Bonus Payout Worksheet (BPW) please ensure the following:

  Include a Resident Activity Report (Move ins only) with notes to let us know which ones are not submitted because they were an employee M/I, incomplete paperwork or a TOS, etc.

  The “# of leases expiring this month” on the IPW must match what your Scoreboard numbers.

  Percentages on the IPW must total 100%?

  Plug in your NOI goal at the bottom of the IPW.

  Plug in employees first AND last names under staff members on the IPW.

  You must copy the dollars from the IPW to the BPW correctly.

  Be sure to include the maintenance team as are dividing Renewal Bonuses.

  On the BPW insure that any special incentives offered to employees include approval email from corporate.

Managers—When an individual lease bonus is revoked this will result in your partner bonus being decreased. This will NOT affect the maintenance supervisor’s partner bonus. It is in YOUR best interest to double check each lease before it is turned into corporate.

NOTE:

  1. This Bonus Submission Review sheet must be included with your IPW & BPW each month.
  2. The attached Lease Bonus Submission Checklist must be included with each employee’s lease/renewal coversheet. Each box on checklist must be checked by employee and signed at the bottom. Their signature states that they have completed what is expected.

Move-in/Renewal Bonus Submission Checklist:

Leasing Teams: Below is a step-by-step cheat-sheet for you to know what is required for a bonus payout. Any missing information or incorrect information will result in that lease bonus NOT being paid. There will be no second chance to do it over.

  For New Move Ins ONLY…Top sheet should be a copy of the Punch Checklist for that unit.

  All names must be spelled correctly on the lease paperwork.

  All “Parties” and “Occupants” must be correctly displayed in OneSite.

  All “Signers” must be coded as “S” and “Co-signers” coded as “C” in OneSite.

  The Security Deposit on the lease must match the Security Deposit in OneSite. If not, is there a note on the lease explaining why? Examples: Satellite deposit, additional garage door opener deposit etc.

  The start/end dates on the lease must match in OneSite.

  The Rent on the lease must match in OneSite. NOTE: Rent on the lease should always include STF’s if applicable. Some properties include trash or water as “Rent” on the lease as well.

  All parties must sign all lease paperwork.

  The manager must sign the lease agreement, concession agreement and the Early Termination Addendum when applicable.

  Concession addendum must be attached when applicable.

  Garage/Storage Addendum AND Garage/Storage Concession Addendum must be attached when applicable.

  Pet Addendum must be completely and correctly filled out (including correct fees and rent at the top) and included when applicable. All fees and rents must match in OneSite. If not, is there a note at the top of this addendum explaining why they don’t match? Example: "Resident TOS, $300 paid in previous unit”.

  All dogs must have a photo taken in the leasing office and copy attached. Cat owners may bring in a photo and it must be attached. A Rabies Certificate with the expiration date circled must be attached.

  On the Misc. Tab in OneSite the full description/name/age/weight of the pet must be entered and match paperwork.

  On the Misc. Tab in OneSite the vehicle information must be entered completely (including the license plate.)

  Trash/Cable addendums must be attached when applicable.

Special notes: If your copier as 2 sided copying ability—use it!

I have signed that I have completed each required item on the above checklist in order to receive my bonus payout. I understand if one single item on the checklist is not properly executed as directed that I will NOT receive a bonus for each lease that was incorrect. I also understand that I will not receive a second opportunity to turn it in correctly. The only exception is for employees who have been employed 30 days or less as they will have one additional chance to complete paperwork properly during training.
