PIM Vendor Security Administrator

Reference Guide

As a Vendor Security Administrator (VSA), you are responsible for managing user information for the AP vendor number you are associated with. This minimizes user management for Roundy’s Category Management team as well as grants the vendor greater control over their information. Responsibilities of the VSA include the following:

1.  Adding, changing, and deleting users associated with your AP vendor number.

2.  Providing general assistance with PIM system access to your users.

3.  Performing an annual review of users associated with your AP vendor number.

This reference guide will provide you basic information related to Roundy’s Identity Management System. This system will be the place where you perform your VSA responsibilities. Please read through the document thoroughly before attempting to use the system.

Note: This is a secure web site. You must use the https prefix to access the site.

Browser Requirements:

Internet Explorer 5.5 or higher. Other browsers may work but will not be supported.

Signing on as a VSA for the first time…

When you sign onto the identity management system for the first time, you will need to enter a set of security questions and answers. This is the fastest method of resetting your password in the future should you forget. Roundy’s will assist minimally should you forget your password. It is your responsibility to maintain your own user information!!

1.  Open your browser window.

2.  Type https://reset.roundys.com into the URL line and go to the web site.

3.  Type your PIM Login ID into the User ID field.

4.  Type your password into the password field.

5.  Click “Login” to proceed.

The above screen displays once you have successfully logged in.

6.  You must configure your security questions at this time. Select “My Passwords” at the left side of the screen.

The above screen should display. If you have not reached this screen, select “Update Passwords” at the bottom center of the screen that displays.

7.  You will need to supply two security question answers.

  1. Enter your mother’s maiden name in the appropriate fields.
  2. Enter the last four digits of your social security number in the appropriate fields.

8.  Click “Save” to store your security question answers.

9.  You have now successfully stored your security question answers. You will need to know these answers in the event you forget your password in the future.

Resetting Your Password…

  1. Open your browser window.
  2. Type https://reset.roundys.com into the URL line and go to the web site.
  1. Type your PIM Login ID into the User ID field.
  2. Type your password into the password field.
  3. Click “Login” to proceed.

Proceed to the next page…

The above screen displays when you have successfully logged in.

  1. Click “My Passwords” to access the password update screen.

A similar screen to the one above will display.

  1. Enter a new password into the appropriate fields. See below for password requirements.
  2. Check any and all selection boxes that appear on your screen.
  3. When complete, select “Save Password” to store your new password. This will update the identity management system as well as the PIM web site.
  4. You will see displayed on the screen a success message. Once viewed, click “Close”
  5. At this point, your password has been changed and you will be forced to log back into the system if you wish to perform other maintenance tasks.

Password Requirements

-  Minimum length = 7

-  At least one uppercase letter

-  At least one lowercase letter

-  At least one number

-  At least one special character. (! $ @ * & or similar)

-  Must be unique. You cannot update your password to be the same password each time you reset.

If you forget your password…

  1. Open your browser window.
  2. Type https://reset.roundys.com into the URL line and go to the web site.
  1. Type your PIM Login ID into the User ID field.
  2. Click “Forgot Password” to continue.

Proceed to the next page…

A screen similar to the above will display.

  1. Enter the correct answer to all security questions listed on your screen.
  2. Click “Submit” to proceed.

A screen similar to the above will display if you successfully answered your security questions.

  1. Enter a new password using the appropriate password requirements.
  2. Click “Submit” to proceed.

Note: If you fail to successfully answer your security questions, you must call the Roundy’s IT Support Center to have your password reset manually. Please contact 414-231-7100 in this event. The support center is open to you Monday through Friday from 8am to 5pm. Please stay on the line and wait for a representative to assist. As password resets are never an emergency, do not select the emergency option.

Adding, Modifying, Deleting PIM Users…

This section outlines the process of adding, modifying, and deleting additional PIM users for your AP vendor. Use this section if you need additional users at your site to have access to PIM. This section walks you through managing these additional users.

  1. Open your browser window.
  2. Type https://reset.roundys.com into the URL line and go to the web site.
  1. Type your PIM Login ID into the User ID field.
  2. Type your password into the password field.
  3. Click “Login” to proceed.

  1. Select “My Accounts” to access the user management screen.

The above screen will display.

  1. Select “New Account Request
  1. Mark the PIM Access Request radio button
  2. Click “Select” to proceed.

10.  Select Action

a.  Add, Modify, Delete

11.  Enter First Name, Last Name, and current Email Address of the user you will be adding.

12.  Enter PIM Login only for modify or delete. Note: You must know the PIM Login for any user you wish to modify.

13.  The Requestor, GLN# and Company fields will be pre-filled based on your login. The system is designed to allow you access only to your GLN#. (GLN# = AP Vendor Number)

14.  Select “Submit for Approval” when complete.

15.  An email containing login information will be sent to the requestor’s email account. It is important that this email address be accurate and current. This is the only method of user communication you will receive!

Required Fields:

When adding, you must complete all fields with the exception of PIM Login. Please leave that blank.

When modifying, you must complete all fields.

When deleting, you must complete the PIM Login field.

Additional Notes:

1.  It is your responsibility to communicate login and password information to PIM users.

2.  It is your responsibility for ensuring that additional users are familiar with the PIM system.
