I. Office 365 – Update (Dave Moss)
Dave Moss gave an update on the Office 365 migration. Currently have 637 accounts migrated and with 1775 remaining. Total number of participants for Office 365 Toolset is around 700. Services enabled: Office Online for Education, Skype for Business Online (Plan 2), SharePoint Plan 1 for EDU, and OneDrive for Business (Plan1).
Q. How many locally hosted accounts are still out there?
A. Around 10. They are all confirmed to migrate.
Q. How are we doing on FERPA and HIPPA compliance for Office 365 Toolset?
A. ISO is doing a review and has not seen accessibility capability within Office 365 Toolset. Will get an update on it in December.
II. Zero-Based Budget – Update (Brad Englert)
Brad Englert presented an update on the ITS Zero-Based Budget since 2009. Handout includes Application, Information Security Office, ITS Data Center, Customer Support Services, Systems, and Network and Telecommunication services that have been implemented and retired. Introduced 44 new services and retired 30 services.
III. Casper System – Update (James Lewis)
James Lewis presented the update for Casper System project charter. Since last presentation, charter has new added steps for transition and success criteria. Currently in a good position for a contract with no roadblocks identified.
Q. Can you come back with an update in January from a project execution standpoint?
A. Will have a pricing update in December and will proceed from there depending on if the pricing fits. Considering a 3-year contract.
IV. IAM Committee – Update (C.W. Belcher)
C.W. Belcher gave an update in the Identity and Access Management Roadmap. Currently wrapping up planning phase. Will be going to UT System for contract approval in March but now asking to start on implementation as soon as December. Rolling out a website for IAM information.
Q. When are you getting started with the implementation?
A. Right now we are looking at the first of December.
Migrating from Toopher to Duo Security. Starting implementation now. Plan is to have implementation done by Spring Break. Keeping Toopher for W2 season. March – June is transition period.
Q. Workday is trying to figure out how to identify someone who does not have an EID, can this Duo Security solution help?
A. It’ll probably be a local account since Workday recruiting does not use the same authentication as the rest of the system.
Q. What about the CARE (Centralized Authentication Resiliency Enhancement) project?
A. Working on requirements and solution. Looking at high-level pricing. Project has been put on hold due to resource restraints.
Q. What applications can use lightweight authentication?
A. An example is the development office. They are very interested in using this to work with alumni for donating. They need it to interact online. It’ll have value for less central services due to lightweight nature.
Q. Which identity providers will you be using for lightweight authentication?
A. We are having an identification selection soon. Big ones include Facebook, Linkedin, Google, etc.
Q. Is it a goal to go away with Guest EIDs?
A. In their concept, yes.
V. ITS Application Service Plan – (Julienne VanDerZiel)
Julienne VanDerZiel gave an update on the ITS application service plan. Team Overview includes Middleware and Common Applications, Identity and Access Management, Web and Contract Services, and Education and Training. Document includes Last Year’s Key Accomplishments, Other Initiatives and Accomplishments, Current Major Projects, and Deferred Projects. Also includes 2015-2016 Planned FTEs and Planned vs. Actual FTEs.
Q. What CMS will you be using?
A. Product is Drupal but still selecting a manage service to help with it.
Q. What was the ESB Service Center?
A. We anticipate that there are going to be CSUs that will want to use it. It is a fee for service for building and support and connection to the cloud.
