Defining a Substitute approver

1. From the main Business Workplace screen, open the substitute menu: Settings à Workflow settings à Adopt substitution, à End substitution, à Maintain Substitute, à Activate Substitute.

2. First, maintain the allowed substitute. To create a substitute click Setting à Maintain Substitute.

3. Select your name, then click on the Create Substitute icon . The choose User screen will appear, enter a portion of the person’s SAP username and an * and click the Green Checkmark. Highlight your choice by clicking on it and click the check mark, or double-click on the person’s name.

4. Click save on this screen, you should not change the Validity period. You have the option to make the substitution immediately active by clicking in the Substitution active box before saving. Otherwise, if you are creating a list of available substitutes, leave the box blank and save. The status bar will indicate Relationship Created.

When a Substitute is Required

1. Activate the substitute via Settings à Workflow settings à Activate substitute.

2. Click on the desired substitute and click activate (the match icon)

3. Click the green checkmark to leave the screen.

The sender activates a substitution. A recipient adopts a substitution. The sender can end by deactivating the substitution. Either can process an End substitution to resume the flow of messages to the original receiver’s inbox.

To Adopted a Substitutes Items

As long as you have a substitute created, you do not have to activate your substitute, the substitute and adopted your workflow items. To adopt someone items use the following steps.

1. Access the SAP inbox by clicking on the inbox icon from the main menu screen or by selecting Menu à Business Workplace from the menu. The transaction code to access the inbox from any other screen is SBWP.

2. Activate the adoption via Settings à Workflow settings à Adopt substitute.

3. The Chose Substitution screen will appear. Click in the check box next to the person you are adopting, the status bar will indicate Substitution Selected; click the green checkmark to complete the transaction.

4. Click on the arrow next to the Inbox, click on the Blue Box next to workflow.

5. Click the checkbox to Adopt Substitutions; click the green checkmark to complete the transaction.

6. The items that appear in your Workflow will be those of the person you are substituting for.

7. To end the substitutions go to Setting à Workflow Settings à End Substitution. When you click on the Workflow button your items will appear.
