Exhibitor Regulations
1. Payment
To ensure a 10x10 space on the Amherst town common during Extravaganja the following amount must be paid to the UMASS Cannabis Reform Coalition:
· Vendor Fee: $75
· Food and Glass Vendor Fee: $150
Exhibitors are asked to return their completed contract with a NON REFUNDABLE deposit of $25 by 04/10/2010 to confirm their space. Exhibitors selling food items or blown glass items are required to return their contract with a NON REFUNDABLE deposit of $50 by the same date. On the day of the event, the remainder of the payments ($50, and $100 for food & glass), unless by prior arrangement, will be collected by the UMASS Cannabis Reform Coalition (CRC) or their designee.

2. Sales & Distribution of Literature
Exhibitors must describe their products in detail prior to contracting with UMASS Cannabis Reform Coalition (the sponsoring Registered Student Organization (RSO)). If literature is to be distributed, please attach copies of this information to this application. The town of Amherst and the UMASS Cannabis Reform Coalition (CRC) reserves the right to limit the sale of any products. Food items are not permitted for sale unless an appropriate permit has been issued by the Town of Amherst Chamber of Commerce. Vendors are responsible for collecting applicable Massachusetts sales taxes and for providing valid Massachusetts Sales Tax IDs upon request.
If an application is not accepted, the exhibitor will be notified immediately via phone. The sponsoring RSO will inspect the exhibitor area(s) during the event to make sure everything is in accordance and to answer any questions. Obtaining the appropriate resale permits and collecting appropriate sales taxes are the responsibility of the individual vendor.
3. Conduct
Exhibitors are to be respectful of the Amherst Commons and local community, invited guests of the sponsoring RSO, and to other exhibitors. The sponsoring RSO reserves the right to expel any exhibitor that violates these rules stated in the contract. No refund will be given if this should occur.
4. Set-up and Take Down
Exhibitors must check in at the CRC table located near the Stage before setting up. A schedule of the exhibitor’s set up/take down times will be sent via email or mail upon receipt of completed application and contract.
This event will take place at the Amherst Town Commons, on 4/17/10, from the hours of 12PM to 7PM.
4. Set-up and Take Down - Cont.
Exhibitors will be provided with One 10’x 10’ outdoor exhibition space
Exhibitors are responsible for bringing their own table coverings, displays, tents etc. Exhibitors are responsible for the clean up of their areas during and after the event. Exhibitors are additionally responsible for keeping their set ups within the bounds their prescribed areas.
There are public metered spaces available for parking on a first-come, first-served basis. There is a longer-term pay parking lot on Boltwood Way. Vendors are responsible for complying with posted parking restrictions during loading and unloading. Vehicles must have their hazard lights on while they are parked in the unloading zones. Due to health and safety regulations, idling engines are not permitted. Vehicles parked in no parking zones or in handicapped parking spaces may be towed at the owner’s expense. Exhibitors should not drag any metal across or otherwise damage outdoor lawns while unloading.
5. Security
If security is provided, it will by the sponsoring RSO during the designated hours of the event. No security will be provided after hours. The University of Massachusetts CRC is NOT responsible for any lost, stolen, or damaged property.
6. Space Allocation
All exhibitor applications that are accepted will be guaranteed a space. Exhibitors will be restricted to the space that they are provided.
If all spaces have been allocated, further applications will not be accepted and the vendor will be notified with the deposit (if any) returned.
7. Arrival
Exhibitors must immediately report to the CRC registration table upon arrival.

8. Contract
No exhibitor may set up a table without first returning a signed copy of the vendor contract to the CRC. The CRC must maintain copies of all contracts. Additional copies will be placed in their advisor’s event file. Failure to comply will result in the CRC not being permitted to hold subsequent events.
9. Description of Exhibition

Exhibitor Contract
· I agree to set-up an exhibit, table at my own risk, and remain fully responsible for the safeguard and maintenance of my exhibit and any craft or resale items as well as for the payment of any related sales taxes.
· I certify that I have read the above regulations and agree with the terms of this contract. I further certify that all my statements on this application are true and correct. I understand that if violation of this contract occurs, the UMass Cannabis Reform Coalition (CRC) and/or the University of Massachusetts reserves the right to expel any exhibitor who does so, and no refund will be given.
· I hereby release the UMass Cannabis Reform Coalition (CRC), the University of Massachusetts, its employees, representatives, and agents from any and all claims, injuries, personal property loss, and causes of action whether known or unknown.
