MINUTES OF THE 27th TCSA ANNUAL GENERAL MEETING HELD IN THE LONG GALLERY, ALPHEN HOTEL CONSTANTIA ON FRIDAY 26 MARCH 2010 AT 19H30

3. ACCEPTANCE OF MINUTES OF 3 APRIL 2009

The minutes of the previous AGM were accepted.

The Chairman’s report was read out by the Chairman.

5. TREASURER’S REPORT

The Financial Report was read out by the Chairman.

Comments on the reports:

The Financial Statements for the year ended 31 December 2009 have not been audited yet. Geoff Tinker and Lynda Pitcock will organise for the audit to be done.

Action: Geoff and Lynda

It was mentioned that the accounts have been well looked after and thanks was given to the treasurers.

6. ELECTION OF THE NEW COMMITTEE

Chairman: Geoffrey Tinker was elected. Nominated by Conrad Thomas. Seconded by Sue Ford.

Honorary Secretary: Lynn Mc Master was elected. Nominated by Sue Ford. Seconded by Marie-Paule Henshall-Howard.

Honorary Treasurer: Jeff Pitcock was re-elected. Nominated by Conrad Thomas. Seconded by Brian Ford. This appointment will be shared by Lynda Pitcock.

Membership Secretary: Sue Ford was re-elected. Nominated by Conrad Thomas. Seconded by Peter Petropulos.

Trails Co-ordinator: Brian Ford was re-elected. Nominated by Conrad Thomas. Seconded by Peter Petropulos.

Day Hikes Co-ordinator: Geoff Tinker was re-elected. Nominated by Peter Petropulos. Seconded by Sue Ford.

Editor: Tony Burton was elected. Nominated by Sue Ford. Seconded by Brian Ford.

Social Secretary: No nominations for this position. Denise Hopkins agreed to organise on an ad hoc basis the socials that will be proposed during the year.

8. GENERAL

The matter of surface mail of schedules and notices to the 20 members that still require hard copies was discussed shortly. The status quo remains with these members still requiring the information by surface mail.

The topic on ways of building up the membership for the Club was discussed. Four types of action were decided upon:

1. Tony will write one or two short inviting articles to be published in the local news papers such as the Tatler. Action: Tony

2. Rosmary Paul will advertise her next hike briefly with just a contact number in the local news paper. Action: Rosemary

3. Cards with information on the Club will be printed to be handed out to interested people. Action: Committee

4. Hike Leaders would make follow up phone calls to their visitors to extend the welcoming of the Club and hopefully entice them to hike again with us. Action: Hike Leaders

A vote of thanks was given to Conrad Thomas for his efforts as Chairman, and to Marie-Paule for her services as the Honorary Secretary, in the previous year.
