JOB DESCRIPTION

Job title: Part-time Museum Administrator

Hours: 10 per week, worked 2 hours per day, Monday to Friday

Rate of pay: £9.38 per hour

Background

The Northern Ireland War Memorial is a limited company with charity status. Its aims are threefold. First, to provide a memorial to the people of Northern Ireland who lost their lives in WW1 and WW2. Secondly, to provide office accommodation for the Royal British Legion and other ex-Service organisations. Thirdly, to commemorate the association of the Armed Forces of the USA with Northern Ireland in WW2.

The NIWM is in the process of acquiring museum accreditation status, expected in 2013.

Main purpose of job

The Museum Administrator will provide administrative support services to the Secretary, Curator and Education Officers in delivering the annual business plan. He/she will manage the office, as well as the website and IT/AV equipment. He/she will also assist in the archive. The Museum Administrator will report to the Curator.

Principal duties and responsibilities

o  Management of office - email and website, general and visitor enquiries, telephone calls, photographic library, diary management, boardroom and conference suite reservations, requests for information, ordering stationery, prepare cheques, post, managing kitchen, etc.

o  Manage the website (developing social networks) and all IT/AV equipment

o  Provide professional support to the Curator in the management of the archive.

o  Provide occasional cover for the Museum Attendants in the gallery during the day.

o  Help with events in evenings and at weekends as required.

o  Undertake such other related duties as may be allocated.

Essential criteria

o  You must enjoy working in a small team of professional persons

o  Education to A level or higher, with awards in English and history

o  Experience of operating of a range of MS Office applications

o  Familiar with Modes collection management system

o  Good communications skills and a polite, helpful manner

o  Accustomed to working on your own and self motivated.

Desirable criteria

o  Experience of working in a museum, gallery or similar environment

o  Possess a qualification in museum studies

o  Have an interest in the two world wars and the Belfast Blitz. You will be expected to develop your knowledge about them to assist the professional team.

General

o  Security conscious and alert at all times

o  Dependable and trustworthy

o  Aware of health and safety at work issues

o  Able to deal with a variety of different tasks

o  You will be Access (NI) cleared for working with children and vulnerable adults.

PAY AND CONDITIONS

______

o  The rate of pay will be £9.38 per hour

o  You will be expected to agree a work pattern with the Curator, so that you provide a daily 2-hour cover Monday to Friday which includes the hour between 11.00 and 12.00

o  You may be invited to work further hours a week during the day and evenings to suit activities in the gallery, including weekends and public holidays

o  Hours worked in excess of 10 a week will be paid at the normal hourly rate

o  You will be entitled to claim travel and subsistence at NI Civil Service rates for any activities authorised outside the office. You will not be entitled to claim travel to work allowances

o  You will be entitled to be paid in respect of statutory holidays, plus customary holidays when the NIWM is closed

o  You will be facilitated for appropriate and approved continuing professional development (CPD) to be undertaken within the contracted hours at the reasonable expense of the NIWM

o  You will be expected to be dressed smartly at all times in accordance with office professional standards
