Expression of Interest – Food Vendors

Expressions of interest are sought for the provision of food and beverage at two Australia Day Victoria Melbourne events:

  • RACV Australia Day Picnic and Federation Vehicle Display in the Kings Domain Gardens

and

  • St Kilda Road Eastern Service Lane and Queen Victoria Gardens.

Both events attract thousands of people to celebrate our national day, and include a wide range of music, entertainment, activities and stalls.

Applications close on TUESDAY 8 OCTOBER 2013.

Applicants will be notified of the outcome of their submission by Friday 1 November 2013.

Kings Domain Gardens

The RACV Australia Day Picnic and Federation Vehicle Display in Kings Domain Gardens includes:

-over 400 vintage and veteran vehicles on display around the gardens

-stages featuring free performances (including jazz musician James Morrison)

-free arts and crafts activities

-sports and ball games, demonstrations, displays and a variety of fun activities

-displays and information from a variety of community organisations

-interactive stalls

Vendors sought are those that will provide a diverse range of affordable food and beveragesfor the visitors to the event. Visitors include families with young children, people interested in the vehicle displays, and a diverse cross section of the Melbourne community.

The sale of alcohol is not permitted.

Trading Times

9.00 am – 5.00 pm (bump in and outtimes will be supplied to vendors who are accepted)

Site Fee/s

3m x 3msingle food site (e.g. coffee cart, ice-cream vendor etc)$500 + GST

3m x 3mmultiple food site (e.g. several items on the menu)$700 + GST

Large food vans $1000 + GST

If you require a 6m x 3m site, the site fee will double.

Please ensure you indicate site size on your form.

Additional items such as generators, tables, and chairs may be hired from us for the day. Successful applicants will be supplied with a full list of available items.

Vehicle Access/Parking

Once set up is complete, all delivery vehicles must leave the site by no later than 8.45am on

26 January. Vehicle access to your site is not permittedbetween 8.45am and 5.30pm. Vehicles left on site will be towed away at the owner’s expense. A limited number of parking spaces are available for purchase at $21.50 (if required please indicate your interest in the form below).

St Kilda Road – Eastern Service Lane/Queen Victoria Gardens

This event will incorporate the RACV Big Brekkie, a stage with choirs and a range of other activities. A maximum of 10 food and beverage stalls will be set up along the Eastern Service Lane for the thousands of visitors expected to be in the St Kilda Road and Queen Victoria Gardens precinct. The Arts Centre Market will be operating, and the Australia Day People’s March will pass by St Kilda Road – both activities attract thousands of people.

Food and beverage vendors are sought to represent the diversity of cuisine available in Melbourne. Preference will be given to affordable, culturally diverse food suitable to be consumed throughout the day (including breakfast). The sale of alcohol is not permitted.

Information for both sites

P Power:

  • Private generators are not permittedwithout prior arrangement with Logistics Coordinator, Liz Pain - Ph 9531 2587.
  • Vendors operating highly sensitive equipment must supply power filters.
  • The standard power provided will be a single 15 amp 240 V power supply at $110inc GST per site.
  • Australia Day Victoria takes no responsibility for any interruptions to power supply on the day or for any damage to traders' equipment.

Water:

We do not provide water for your stall. You must bring any water you need and it is suggested that youalso have a spare 15 litre container with you.

Refrigeration:

We do not supply cool rooms. Vendors are required to supply their own refrigeration.

Insurance

All vendors must provide evidence of current public and products liability insurance (minimum $10 million).

Waste Management

Dumping of fat and oil in storm water drains or bins is strictly prohibited. All food vendors must have sullage tanks, where necessary, fitted to their units and sullage is to be disposed of by the vendor. Ice is not to be emptied or left on grassed areas.

Containers

Food and beverages sold in glass containers are not permitted. Preference will be given to vendors supplying environmentally sound packaging.

Compliance to laws, regulations and other conditions

Stalls must at all times comply with all laws, regulations and requirements of local government and other statuary authorities in connection with the stalls sales and operations, including but not limited to all consumer, fair trading, sale of goods and public health laws and regulations.

It is important that your electrical equipment is tested and tagged and that gas bottles are compliant with the current regulations.

All accepted food vendors MUST register with Streatrader (City Of Melbourne Health Services).
