Facilitator Guidelines for Receipt of Compensation 2015

Note: (VSR by Web will receive an additional guideline sheet)

  • Facilitators will schedule four quarterly meetings (local VSR Exchanges). The meetings will be half day [4 hour] with inclusion ofVSR-only meeting time (in cases of state-wides/combined meetings/VSE etc.)

If you are VSR/Web a minimum of 4 webinars + 1 live meeting per year

  • Meeting agendas must:

 designate time, date and location of meeting as well as an itemized listing of each agenda item with time of that item as well as content/summary of that item.

The following must be included on each agenda: (templates on VSRF website)

  • Maximum 30 minute sponsor presentation (unless CE or approved workshop to last more than 30 minutesincluding approved Optical Dream Training. Elite vendors should be considered and offered sponsorship opportunities while diversity of vendor products and services is also a priority.
  • Updates on vendor programming and messages from VS; reinforcement of differentials with our Elite partners through use of the POA (Plan of Action) slide deck.
  • Topic/training specific to “Preparedness”
  • Topic/training specific to “Optical Dream” TIP: avoid showing training videos that can be done back in the practice
  • Minimum 1 hour roundtable discussion encouraging topics from the group
  • Summary at the end of the agenda covering take-homes each VSR plans to discuss with their doctors to implement and follow up of last quarterly meetings’ take-homes.
  • A copy of the meeting agenda, VSR meeting notes and Facilitator Reportshould be in Word format and emailed togetherwithin 2 weeks of each quarterly VSR meeting to:

SRD, DM and/or Area Manager as locally directed

  • At least 50% of a region’s committed members should attend each meeting.
  • Maximum compensation=a total of $1200 per year. [$300/quarterly meeting]

VSR/Web compensation = a total of $1200 (typically $300/live and $180/webinar)

  • Longevity compensation will apply beginning at 4 years in the role, raising the above totals $100 for a calendar year, amounts designated in tiers
  • VSR Meeting/webinar dates for the upcoming year will be due on a date designated by the VSR Program Manager prior to the end of the current year.
  • The Facilitator shouldregularly attend member meetings as needed to give a general report of their VSR meeting and receive feedback from the doctors on subjects they would like to be covered in upcoming meetings. The doctors’ feedback should be used to structure a portion of their next quarterly VSR meeting.
  • Help with the new member onboarding process when asked by Administrator or District Manager.
  • Keep a current contact list (remain in communication with administrator regarding additions and deletions) and distribute information in a timely manner on behalf of Vision Source, annually sending out the VSR Participation Form to ensure accuracy.
  • The Facilitator must represent Vision Source professionally. He/she must also use the legalVSR/VS logos on VS related correspondence and material as well as the VS template for all Powerpoint (PPT). With regard to PPT, training and educational presentations should be approved by Member Services and/or the VSR corporate team.
  • Ensure meeting rules are followed both online (IE google groups under the VSR program locally) and during meetings/webinars.

No discussion of salary benefits and incentives- unless agreed to by all member doctors in the region.

No discussion of retail pricing- unless agreed to by all member doctors in the region.

No discussion of companies/vendors not on the VS vendor list.

No negative discussion (IE complaints about doctors or staff such as “our doctor wouldn’t pay for that”)
