PRESIDENT: Oversee and take responsibility for the operation of the USD Panhellenic Association. Call and preside at all meetings of the USD Panhellenic Association, including both Executive Board meetings, as well as General Council meetings. Serve as the primary liaison to the University administration, including representing the Association on panels, committees, parent events, etc. Approve all contracts involving the USD Panhellenic Association. Report as required to the National Panhellenic Conference (NPC) Area Advisor.As the chief judicial officer for the Panhellenic Association, she will assume responsibility for the investigation of any incidents of alleged misconduct of member fraternities and determine whether a judicial case is to be referred to the Greek Discipline Board, in conjunction with her IFC counterpart. Attends all Greek Disciplinary Board hearings to ensure process is followed and reports back to the association with the outcome. She will be well versed in USD’s Greek Guidelines and Risk Policies, and will act as a support and resource for chapters experiencing issues with Risk Management, including hosting a Risk Management workshop with the IFC Risk Manager. She will receive and investigate all recruitment infraction complaints before/during/after formal recruitment, and handle those complaints according to procedures outlined in the USD Panhellenic Standing Rules for Membership Selection and the National Panhellenic Conference Manual of Information. Coordinate election and appointment of Panhellenic Officers and an annual Panhellenic evaluation. During formal recruitment, assist the Panhellenic Recruitment team by residing in San Diego, beginning in early January. She will encourage Greek unity amongst all men’s and women’s chapters. She will support the women’s chapter presidents by holding monthly President meetings. She will develop relationships among the Panhellenic Executive Board by planning bonding activities.

VICE PRESIDENT, PROGRAMMING: Perform the duties of the President in her absence. Serve as co-chair of the Greek Week Committee, alongside the Interfraternity Council Vice President, Programming, and perform the respective duties of this position including: selecting day chairs, coordinating chapter representation on the committee, planning and distributing a calendar of events for the week, reserving rooms/other areas, budgeting for events, obtaining permits (if needed), implementing/supervising the week and its events, and distributing/collecting evaluations upon the conclusion of the week and its events. Co-coordinate, again alongside the IFC Vice President, Programming, the annual Greek New Member Series and Greek New Member Induction, as well as any other educational/inspirational speakers/ programs sponsored/co-sponsored by Panhellenic. Plan a Greek and school wide social event in order to promote positive relations among the greater USD community and also positively promote Greek Life. She will serve as the coordinator of the Sister Sorority Point System, or implement some other program to improve and develop the greater Greek Community for the better.

VICE PRESIDENT, PUBLIC RELATIONS AND COMMUNICATIONS: Serve as, or appoint another member of Panhellenic to serve as, the delegate to other permanent and/or temporary program boards and/or committees. Be in contact with and act as Panhellenic’s liaison to all areas of campus, including Associated Students, and the United Front Multicultural Center. Act as Panhellenic’s voice in the Greek Community and the greater USD Community. Serve as the contact person for the chapters’ junior delegates, and utilize them when working with other offices on campus on special projects, increasing school spirit, etc. Direct and plan all PR for the Panhellenic Association and Greek Life, including: Recruitment marketing, and weekly management of the Panhellenic Website and other social networking (Twitter; Facebook; Pinterest). She will receive all projects and important information from Panhellenic officers and work with USD’s Creative Zone to create all marketing tools for the respective events (i.e. post card and parent letter for recruitment).She will also act as the historian at all Panhellenic and Greek Life events. She will develop the Panhellenic calendar on a semesterly basis, and to maintain community cohesion, she will announce and promote all events on the calendar, whether sponsored by Panhellenic/IFC or individual chapters. She will plan and execute a newsletter to be sent to the campus community once a semester updating them on the positive accomplishments of the Greek Community.

VICE PRESIDENT, PHILANTHROPY AND COMMUNITY SERVICE:Coordinate philanthropic events for Greek Community, as well as the greater USD Community.Coordinate at least one all-sorority service-project event per semester. Promote our Core Value of Social Justice and Selfless Service. Serve as co-chair, alongside the Interfraternity Council Vice President, Philanthropy and Community Service, of the Philanthropy Board, and perform all duties related to this position, including: planning, budgeting, reserving rooms/other areas, obtaining permits (if needed), and implementing/cleaning up the actual event.As well as run the Philanthropy Advisory Board. She will collect semesterly philanthropy reports of each Panhellenic chapter. Report other USD-affiliated and/or local community service programs/events to the Panhellenic Association, including both the Executive Board and the General Council. Assist the Vice President, Programming in planning and implementing the New Member Conference/Series and the community service aspect of Greek Week (especially if it involves St. Jude Children’s Hospital Letter Writing). She will also act as the head of the Greek Philanthropy Board and appoint members of the board semesterly.

VICE PRESIDENT, ADMINISTRATION: Serve as the secretary and treasurer for the Panhellenic Association. Collect all monies owed to the Panhellenic Association. Pay all Panhellenic bills, process reimbursementspromptly and keep organized financial records. Make a financial report at each regular Panhellenic Association meeting.Create, distribute, and collect invoices to the chapters for dues, and create the Panhellenic budget. Take role, sign-in guestsand record minutes at all Panhellenic Association meetings; then following each meeting, email the minutes to all members of the Executive Board and General Council, all Panhellenic Advisors/Graduate Assistants, and the National Panhellenic Conference Area Advisor. Present Panhellenic’s requests-for-funds to the AS Director of Finance/AS Budget Committee.

VICE PRESIDENT, HEALTH AND WELLNESS: Provide resources, promote attendance at programs and/or educate Panhellenic women on relevant risk and safety issues including but not limited to: fire safety and prevention, responsible alcohol use, crisis management, legal liability, hazing, personal safety, healthy relationships, University policies, etc. Her duties also include the planning and executing of educational programming or coordinating with anther organization on campus for events occurring during National Hazing Prevention Week, Alcohol Awareness Week, Domestic Violence Awareness Week, etc., as well promoting and facilitating discussions on inclusion and diversity initiatives.She is also responsible for coordinating with the Counseling Center and the Women’s Center to provide resources in managing stress, addressing sexual violence awareness, addressing suicide prevention, and to promote a positive body image to the Panhellenic community.
THE PANHELLENIC RECRUITMENT TEAM will be composed of the VICE PRESIDENT, RECRUITMENT OPERATIONS and the VICE PRESIDENT, RECRUITMENT PROGRAMMING. Both leaders will reside at all recruitment meetings and will maintain clear and efficient communication with one another. Both officers will reside in San Diego during the month of January to coordinate recruitment planning and oversee Potential New Member registration along with the Panhellenic President. Individually, the officers will:
VICE PRESIDENT, RECRUITMENT OPERATIONS: Take responsibility for all aspects of planning and implementing Formal Recruitment in January. Call and preside at regular meetings of the Panhellenic Recruitment Committee (consisting of the chapter recruitment chairs), and at these meetings, lead discussions relating to the development of dates for recruitment, types of events, duration of events, etc. Work with the chapter recruitment chairs and the Panhellenic advisor for this position on revising the Panhellenic Standing Rules for Membership Selection (i.e., the Recruitment Rules and Recruitment Rules of Operations). Be responsible for all room reservations and facilities/catering arrangements through UC Operations and Banquets and Catering. She will supervise the follow-through relating to both of these, during Formal Recruitment.

VICE PRESIDENT, RECRUITMENT PROGRAMMING: Develop and coordinate all Potential New Member informational sessions during the fall semester, including room reservations as well planning in the previous spring semester.She will also plan and coordinate all Fall Festivals and all other Fall pre-recruitment events. She will work with the Vice President, Public Relations and Communications to market the fall events. As well as is in charge of designing and ordering the fall marketing shirts, the Sigma Rho Chi shirts/sweatshirts, and working with Vice President, Recruitment Operations to design and order the day 1 shirts for both PNMs and the chapters. She will develop and coordinate all activities relating to the Sigma Rho Chi program, including: updating the Sigma Rho Chi application, conducting interviews, leading training sessions, planning the Sigma Rho Chi retreat, and supervising the Sigma Rho Chis throughout the week of recruitment.

1. All officers must have and maintain a 2.8cumulative GPA throughout their term of office for Spring 2015 and Fall 2015.
2. All officers must attend Panhellenic Council Executive Board meetings every week and Panhellenic Council meetings every Thursday at 12:30 p.m.
3. All officers are to hold office hours, but may be determined by appointment.
4. The Panhellenic President, VP Recruitment Operations, and VP Recruitment Programming are expected to be in San Diego to plan and assist with Formal Recruitment in early January 2015 and 2016.
5. All of the slated incoming Panhellenic Executive Board members are expected to attend the transition retreat Wednesday, January 14, 2015 from 9am to 5 pm at USD.
6. The Panhellenic President, VP Recruitment Operations and/or VP Recruitment Programming, and VP Programming are expected to attend the Association of Fraternal Leadership and Values Conference (April 10-13, 2015) in San Diego.
7. ALL officers MUST attend Greater Than Yourself weekend retreat (hosted by the UFMC and SLIC September 25-27. 2015) or MUST attend Empower Retreat (Spring 2015).
8. ALL officers MUST attend the Ultimate Greek Adventure weekend retreat scheduled for the
weekend of February 7-9, 2015.
9. Eligible candidates shall have been a member in good standing in their respective chapters for a minimum of one semester prior to their election (Article II, Section 1a of the Panhellenic Bylaws).
10. All officers are required to attend and transition in new officers at the first Panhellenic meeting.
11. Once you accept a position on the Panhellenic Executive Board, it is expected that you fulfil the obligations of the position. It will not be acceptable to accept a position on the PHC Executive Board and later decline it in order to accept a different position in your chapter.
12. Once you accept a position on the Panhellenic Executive Board, it is expected that you fulfil the obligations of this position. IF you fail to meet these requirements, you may be expected to resign or be voted off the board at the accumulation of 3 strikes.
- Attend ALL Executive Board and Council Meetings: you are allowed to miss one meeting of each, but any additional missed meetings will be required to be made up with an additional 1:1 with Panhellenic Advisor (This does not count for required outside meetings, i.e. Senate)
- More than 3 missed meetings will result in 1 strike
- Attend Ultimate Greek Adventure February 7-9, 2015. Failure to provide a legitimate excuse will result in 1 strike.
- Make Up Requirements:
- Must watch the “Why,” TED talk, and go over all of the material from the weekend as well as, meet with 2 people who attended the retreat to discuss what went on for one hour each
- Write a 2-3 page paper on what he/she has learned from this material
- Failure to do so within 2 weeks of the retreats end (Sunday afternoon - 2:00pm) will result in an additional strike
- Attend Greater Than Yourself Retreat (Sept 25-27, 2015) or Empower Leadership Retreat (Spring)
- If she has already attended the retreat, then no strike will be considered for not attending
- Failure to provide a legitimate excuse will result in 1 strike
- Make-Up Requirements:
- Read the Greater Than Yourself book and discuss with her advisor and 1 other Panhellenic/IFC delegate who attended the retreat to discuss what they got out of it and write a 2-3 page paper on what she has learned from this material.
- Another option is to attend one or two multicultural orgs meetings/events in lieu of speaking with Panhellenic Advisor or another attendee.After attending these events, the officer must write a paper on what she has learned from these events/meetings.
- Failure to complete these make-up requirements within 3 weeks of the retreats end(Sunday afternoon - 1:00pm) will result in 1 strike
- The Panhellenic President, VP Recruitment Operations and/or VP Recruitment Programming, and VP Programming are expected to attend the Association of Fraternal Leadership and Values Conference (April 10-13, 2015) in San Diego.
- Failure to have a legitimate excuse or failure to attend the conference will result in 1 strike.
- Make-Up Requirements:
- Officer that failed to attend the conference must meet with the other board members who did attend, as well as, Panhellenic advisor to discuss some initiatives that may be planned for the semester. This is done with the expectation that the officer will adhere to these requirements and will plan an event centered around one of the main take-aways by other Panhellenic officers.
- All positions must hold a 2.8 GPA or above and be registered as a full time student. Failure to do so will result in the officer being put on probation and up for review by the Executive Board.
