Identity Card Policy

  1. Objective:

1.1This policy defines standard guidelines for obtaining an Identity Card and utilizing it in an appropriate manner. This policy will give general guidance to all our employees of the various types of Identity Cards that are prevalent in the organization.

2.1As per matrix shown below.

  1. Types of Identity Cards:

Description / Issued/Granted to
IIL permanent Identity Cards / All IIL/Group Companies employees seated at the Area Offices & Branch Offices.
IIL permanent Identity Card cum Access Cards / All IIL/Group Companies employees seated at the Corporate & Zonal Offices.
Blue Training Cards (T Card) / Employees during Induction.
Black Temporary Cards (T Card) / New Joinees as a temporary card post their Induction till the time they receive their permanent Identity Card/Identity card cum Access Cards.
Green Regular Visitor Cards (R Card) / Regular visitors from other branches.
Yellow Visitor Cards (V Card) / This card is issued to visitors who visit the office for a meeting or for an interview & also to employees who forget their Identity card /Identity card cum access cards to office.
Yellow Auditor Cards (ACard) / Auditor’s visiting the office for a random audit.
Yellow Contractor Cards (C Card) / Contractors and Canteen staff.
House Keeping Cards (HK Card) / House Keeping staff.
  1. Identity Cards cum Access Card located at the Corporate & Zonal Offices.

4.1Identity cards cum access cards are allotted to every employee working at the Corporate Office & Zonal Offices. This Access Card Machine captures the attendance record of every employee, is useful for quick processing of payroll and effective marking of leaves utilized by the employee.

4.2The Access Card Machine is located at the entrance gate or at the reception where this card can be swiped. TheAccess Card Machinemonitors entries of all employees who punch their cards and this generates a report directly to the HR Department at the Head Office.

4.3All employees are provided with a identity card cum access card which bear the following details;

  • Name
  • Employee Code
  • Area
  • Branch
  • Blood group
  • Issuing Authority Signature
  • India Infoline Head Office Address

4.4In case an employee has any discrepancy in swiping the access card, the same has to be reported to the HR Department.For the successful implementation of the access Card Machine, it is mandatory for every employee to map their Identity Card cum Access cardto the access doors at the Corporate Office and the Zonal Offices.

4.5The HR Department has to ensure that they provide an Identity card /Identity card cum access card to all New Joinees within 7 – 14 days from their date of joining.

4.6All employees must carry their Identity card/Identity card cum access card & display the same while at work.

4.7 In case an employee forgets to carry his/her Identity card cum access Card to office; he/she should update these details on IWIN. This option is available under HR Menu > My Attendance > Report 2008-2009. This must be done between 9.30 a.m. to 10.00 a.m. on the same day.

  1. Identity Card located at the Area Offices & Branch Offices.

5.1 The Identity Card is issued to all employees working at the Branch & Area Offices. At these Offices a SARS sheet is maintained to capture the attendance of the employees. For a detailed note on the SARS sheet, kindly refer to the Attendance Policy.

  1. Loss of Identity Card/Identity Card cum access Card:

6.1In case the employee misplaces his/her Identity card or Identity card cum access card; he/she needs to obtain a new card by filling the ID card requisition form available on IWIN. This option is available under My Requisitions > ID Card Requisition. An FIR has to be obtained from the police immediately and the same has to be sent to the HR Department in order to obtain a new Identity card.
