Regular meeting Board of Education, Hinton Public School, March 27, 2017, 6:00 p.m., HS Library located at 708 N. Broadway, Hinton, OK.

1.Meeting was called to order byPresident Ken Spady.

Members present: Jodi Combs, Shane Kimble, Clendon Tucker and Ken Spady

Members absent: Jason Douglas

2.Invocation given by Mr. Brownen.

3.Motion was made by Shane Kimble, second by Jodi Combs to approve all of the following items:

  1. Minutes: BOE Meeting of February 27, 2017 6:00 p.m.
  2. Minutes: BOE Special Meeting March 9, 2017 6:00 p.m.
  3. Agenda as posted by law.
  4. Approve the following encumbrances – Regular encumbrance’s #386 - #410; void #339; increase #356, #358 and #382 on General Fund 11; approve encumbrance’s #16 & #17on Child Nutrition Fund 22; approve encumbrance’s #119 - #127; increase #114 on Building Fund 21; approveencumbrance #26on Bond Fund #33 (New School) no encumbrances on Bond Fund #32 for March 2017.
  5. Financial Report given by Mr. Brownen included all Expenditure Account Payables and Activity Fund. Revenue was covered with balances of all funds. General Fund $1,254,876.22; Building Fund $142,131.81; Child Nutrition $-21,726.83; Bond #32 $4,213.77; Bond #33 $989,700.00; Activity Fund Money Market $50,145.42 and Gifts & Endowments $317.11 for the month of March 2017.

5.Administration Reports:

  1. HS/MS Principal’s Report given by Mr. Nickell included upcoming events; Odyssey Ware meeting Wednesday March 29 at noon board members were invited to attend, the testing calendar is complete, Prom is April 15, Music Concert April 25 and with the upcoming home track meet he is asking that several volunteer to help make it a smooth and successful meet. Enrollment: HS-225; MS-149
  2. Elementary Principal's Report given by Mrs. Derryberry included upcoming events;

PTO Carnival March 31 from 5-7pm; Pep Rally for the Special Olympics; Pre-K Enrollment begins April 3 -7th during school hours and April 3rd and 5th will be extended until 6:00 p.m.; April 10th, Third and Fourth Grade will start testing and make-up will be the following week; Thursday May 4 will be Spring Festival. Enrollment at 335.

  1. Superintendent's Report given by Mr. Brownen included followingLegislation; update on building issues the cafeteria was having a problem with the grease trap backing up, it was found that in the construction a pipe had shifted and was crushed, Pippin Bro.’s will make the repair over the summer months; Sarah Harp received the Elementary Merit Honor from APOE; High School student, Ski Hall will be attending the State Superintendent’s Advisory Council meeting in OKC; the Hinton Foundation fundraiser dinner on March 26 raised approximately $4,600.00 and In appreciation to Hinton Schools, Board Clerk, Jodi Combs read thank you cards from the Sr. Citizens and the Canyon Camp Staff and Mr. Combs made cinnamon rolls for each board member and staff.

6.Mrs. Derryberry was asked to report the reason why it had been dropped in the past which was due to class space and the approval of the full day Pre-K. She also mentioned that the discussion with teachers if approved, would be for the long haul. The T-1 class is beneficially for students which will help them have time to mature, develop academically and would re-leave the issue of retention. At this time there are approximately seventeen students ready to be enrolled into T-1 and Mrs. Derryberry sees no issue in having enough class space.

Motion was made by Clendon Tucker, second by Jodi Combs to approve to re-implement a Transitional First Grade Program.

7.Board to open and vote to award, not award or reject various bids for surplus items.

All bids were opened and a list was attached of all successful bidders.

Motion was made by Clendon Tucker and second by Shane Kimble to award the items to the successful bidders excluding item #24 (Walk-In Freezer/Refrigerator). Item #9 was excluded due to a tie which will be re-bid and the highest bidder will receive the award.

8. Motion was made by Clendon Tucker, second by Shane Kimble to approve with modifications a personalized Learning Implementation Committee.

9.Motion was made by Clendon Tucker, second by Shane Kimble to approvethe date of July 24, 2017 to review a draft of a new policy manual structure, policies andan Athletic Director and Coaches Handbook.

10.Motion was made by Clendon Tucker, second by Jodi Combs to approve a Cheerleading fundraiser request; Paint Party during Spring and possibly other seasonal times if successful, two hours per party, to raise funds for various cheer needs.

11.Motion was made by Shane Kimble, second by Jodi Combs to approve the modification to the High School Academic Math and Science Credit Agreement with Caddo Kiowa Technology Center for 2017-2018 academic classes.

12.Motion was made by Shane Kimble, second by Jodie Combs to approve the Academic Pre-Engineering and Bio-Medical Credit Agreement with Caddo Kiowa Technology Center for school year 2017-2018.

13.Motion was made by Shane Kimble,second by Jodi Combs to approvean agreement to allow Hinton Public School Sophomore students to enroll on Caddo Kiowa Technology Centers’ Campus for school year 2017-2018.

14.Motion was made by Clendon Tucker, second by Jodi Combs to approve Angel, Johnston & Blasingame, Certified Public Accountants, as the Hinton Public School’s auditing firm for the 2016-2017 school year covering July1, 2016 to June 30, 2017.

15.Propose executive session to discuss, so board can return to open session and vote on, appropriate items: 25 O.S. 307 (B)(1).
