1.1Explanation of terms used in the Exhibitor and Sponsor Resources

1.2Admission

Registered participants only. Minors and members of the general public will not be admitted. This applies also to the build-up and breakdown periods. For safety reasons, children below the age of eighteen (18) will not be allowed into the exhibition area at any time, from build-up to breakdown.

1.3Booth Boundaries

Exhibitors may not place any display material or exhibit, nor extend their stand structure and fittings, beyond their contracted boundary. The exhibitor will be charged for any infringement of this rule. The permitted height of a stand is 2.3m. Beyond this, the exhibitor must seek the approval of the Organiser.

1.4Construction

The dates & times allocated for stand construction are given in the Exhibitor Stands information. If there are any doubts it is advisable to contact the organiser. Participants should start construction of their stands as soon as possible. If the construction period is exceeded, the Organisers are entitled to refuse exhibits without incurring any liability. All work must be completed by the deadlines indicated in theExhibitor Stands information. The Organiser may dispose of a participant’s stand space without further notification or formal notice of default if he/she has failed to meet his/her obligation to pay the Organisers on time.

1.5Dismantling

Removal of goods and dismantling of stands may take place after the exhibition has officially closed until the time stated in the Exhibitor’s manual. Where relevant, it is advisable to remove small, valuable items as soon as the exhibition closes. Any goods/exhibits left after this time will be removed from site to a storage area at the exhibitor’s cost.

1.6Electrical

The Organiser’s official contractor must carry out all electrical installation work at the exhibition. Exhibitors requiring special arrangements (e.g. different voltages and frequency or special connections to equipment) must arrange for their own transformers, converters etc. All electrical equipment must be tested by the organiser’s appointed engineers prior to turning on the power supply. All electrical equipment must be PAT tested.

1.7Exhibits

Under no circumstances will the organiser be responsible for receiving or storing of any exhibit or stand material. The exhibitors are advised to appoint their staff to look after their own exhibits. Exhibitors must not remove any of their exhibits on display from their booths until the exhibition is officially closed.

1.8Exhibits Requiring Approval

Should your exhibit feature any of the items listed below please contact the organiser, for further information on the safety steps you may need to take or written approvals that you may need to gain:

  1. A solid ceiling or roof area more than 12 square meters.
  2. A stand or part of the stand higher than 2.3 meters.
  3. All stands not constructed by the official stand contractor

1.9Floor Plan

The Organisers reserve the right to alter the layout, plans and positions of stands if, in their opinion, this is desirable from the point of view of the Exhibition as a whole.

1.10Hand Carried Goods

Hand carried goods will be allowed into the exhibition hall on the build-up day. However, you are advised to first check if your booth is ready to receive such exhibits and to take into consideration the risk of leaving valuable exhibits in your booth too early.

1.11Imported Goods

All goods imported for display at the exhibition must be declared to Customs at the entry point and must be covered by proper Customs documents. The exhibitors should retain these documents as they are subject to Customs inspection at the exhibition site. If any exhibitor fails to declare the exhibition goods imported to Customs at the entry point, he would be committing an offence under the Customs Act. The Organiser does not take responsibility for failure to comply by participants.

1.12Insurance

The Organiser undertakes no financial or legal responsibility for any type of risk concerning or affecting the exhibitors/visitors, their personal belongings and exhibits. Exhibitors are therefore responsible for taking all necessary insurance to cover their exhibits, the stand fittings and fixtures, the venue and other third parties. Such insurance should cover the period from the day the exhibits leave your organisation until the day they arrive back at your premises.

1.13Noise

The nature of the show is such that noise is unavoidable. Exhibitors must expect and accept a certain level of such noise in their booth area. In the event of justifiable complaints from other exhibitors, Organisers reserve the right to determine the acceptable sound level and extent of demonstrations.

1.14Official Contractors

The Organiser has appointed official contractors for various services so as to ensure a more efficient and regulated Move-in and Move-out. Space Only Exhibitors may appoint their own stand building contractor subject to approval from the Organiser. Exhibitors are responsible for making their own arrangements. The Organiser will not accept any liability in respect of any contract between exhibitors and contractors for the negligence or default of any persons, their servants and agents. Where mechanical handling within the hall is required, only the official freight forwarders may be appointed.

1.15On Site Handling

Only exhibits that can be hand-carried by one person may be delivered to/removed from the exhibition hall by the exhibitor. Those requiring mechanical assistance must be handled by the official freight forwarder on site. Please liaise with the official freight forwarder for their on-site handling charges and as well as delivery dates for smooth operations planning. Please note that the venue does not provide trolleys, this is the responsibility of the exhibitor.

1.16Reduction of Space

If an Exhibitor should reduce the size of their space after signing the contract, the Organisers shall have the right to charge the Exhibitor 100% of the space reduction cost.

1.17Sales Literature

Printed promotional materials may be distributed only from within an exhibitor's own booth space. They are not to appear in any other public space of the exhibition centre or the venue with the exception of bonafide sponsors under the sponsorship guidelines. Demonstrations, other direct sales activities, and "give-away" items are also restricted to the exhibitor's own booth.

1.18Safety

Moving machinery must be fitted with safety devices when the machines are in operation. These safety devices may be removed only when the machines are disconnected from the source of power. Working machines must be placed at a relatively safe distance from the audience. We strongly recommend the use of safety guards.

All pressure vessels or equipment under pressure must conform to the safety standards and regulations. Approval for use is required. No motors, engines or power driven machinery may be used without adequate protection against fire. No naked or open flame, temporary gas or naked, live electrical fittings may be used in the exhibition halls at any time. This includes welding works.

1.19Security

The venue will provide basic security. Exhibitors and their staff will not be allowed in the exhibition hall after exhibition hours. All personnel in the exhibition halls must wear identification badges. No exhibits may be removed from the Exhibition Hall during the opening hours of the exhibition, unless with prior arrangement with the organisers.

1.20Smoking

Smoking is not allowed inside the venue.

1.21Storage

Where possible, exhibitors should arrange for their empty and non-useable cartons and cases to be transported back to their own premises. There will be limited storage onsite.
